Customer Service Representative - Scheduling, Quoting, and Dispatching

We are currently seeking a skilled and customer-oriented individual to fill the position of Customer Service Representative - Scheduling, Quoting, and Dispatching. The successful candidate will be responsible for scheduling customers, answering phone calls, providing accurate quotes for services, dispatching technicians, ordering parts, and writing estimates. Excellent computer and communication skills are a must, and proficiency in QuickBooks and spreadsheets preferred. Previous experience with scheduling and dispatching, as well as parts ordering and writing estimates, is highly preferred.

Responsibilities:

  • Answering phone calls, messages and responding to customer inquiries promptly and professionally
  • Scheduling customers for services and ensuring that appointments are booked accurately
  • Providing quotes for services and following up with customers to answer any questions they may have
  • Dispatching technicians and coordinating their schedules to efficiently meet customer needs keeping routes profitable.
  • Ordering parts and ensuring availability for service requests
  • Writing estimates for services and repairs
  • Maintaining accurate records of customer interactions, service requests, and parts inventory
  • Managing and updating customer information in the company's database
  • Coordinating with technicians and other team members to ensure that customer service requests are completed in a timely manner
  • Resolving customer complaints and concerns in a calm and professional manner
  • Assisting with administrative tasks as needed

Requirements:

  • High school diploma or equivalent
  • Proven experience in a customer service role, with specific experience in scheduling, dispatching, parts ordering, and writing estimates being highly preferred
  • Excellent communication and interpersonal skills
  • Familiarity with QuickBooks and Google programs
  • Strong organizational and time-management skills
  • Ability to work in a fast-paced environment
  • Comfortable working with a team and independently
  • Ability to multitask and prioritize tasks effectively
