We are seeking a customer service representative/dispatcher to join our growing HVAC service department. This position handles customer interactions, schedules service calls, and dispatches technicians to scheduled jobs. The ideal candidate will have a strong background in customer service and some knowledge of HVAC systems, troubleshooting, and common maintenance issues.
Responsibilities
Answering and routing customer calls, emails, and inquiries professionally
- Scheduling, dispatching, and tracking HVAC service calls using company software
- Communicating job details and updates between technicians and customers
- Supporting service billing and work-order documentation
- Managing maintenance plan scheduling and renewals
- Conducting customer follow-ups and post-service satisfaction checks
- Maintaining accurate records in Buildertrend, Housecall Pro, Ply, Podium, and applicable property management portals
- Assisting management with reporting, data entry, and team coordination
Qualifications
- Minimum of 4 years of customer service and/or dispatch experience (HVAC or related industry preferred)
- Proficiency with dispatching or CRM software (Housecall Pro experience preferred)
- Strong communication, organizational, and multitasking skills
- Ability to work under pressure and manage multiple priorities
- Team-oriented with a positive and professional attitude
- Reliable transportation and consistent attendance
