Customer Service & Scheduling Coordinator


Salary
: $42,000–$50,000/year
Location: Ames, IA

About the Role:

Iowa Home Consulting is seeking a highly organized, professional, and people-centered Customer Service & Scheduling Coordinator to serve as the primary point of contact for our clients while also managing daily scheduling and logistics. This role combines client communication with operational scheduling to ensure smooth, efficient job execution from first call to project completion.

This is a critical position that directly impacts client satisfaction, crew efficiency, and overall company performance.

Key Responsibilities:
Client Communication & Support
  • Answer all inbound calls, texts, and contact forms with professionalism and confidence
  • Serve as the primary voice of the company for all client communication
  • Build and maintain complete client profiles in Jobber
  • Document all call notes, updates, and conversations accurately
  • Provide updates and reassurance to clients throughout the job lifecycle
  • Send estimate confirmations and schedule visits
  • Conduct post-job follow-ups and client satisfaction checks
  • De-escalate difficult calls and escalate when necessary
  • Maintain a calm, solutions-focused tone at all times

Scheduling & Logistics
  • Maintain a 1–2 month rolling tentative schedule
  • Tentatively schedule new jobs and confirm staffing with the Field Operations Manager
  • Ensure proper manpower coverage for daily jobs
  • Apply seasonal limitations and job readiness standards
  • Handle reschedules, cancellations, and conflicts
  • Track special material orders and schedule readiness
  • Ensure Jobber is fully updated and accurate for each job
  • Send next-day job confirmations to field crews
  • Deliver weekly scheduling and operations reports to management


Daily Workflow Expectations
  • Be prepared and ready for the day by 8:00 am
  • Return missed calls within 10 minutes during business hours
  • Manage daily job schedules and client updates
  • Communicate closely with the Field Operations Manager
  • Final end-of-day schedule confirmation by 4:00 pm


Required Skills & Qualifications
  • Exceptional communication and customer service skills
  • High level of organization and attention to detail
  • Strong multitasking and time management abilities
  • Ability to remain calm under pressure
  • Confidence handling scheduling conflicts and difficult client calls
  • Basic computer proficiency and ability to learn industry specific software
  • Reliability, ownership mentality, and professionalism


Preferred Experience
  • Customer service, scheduling, dispatch, or administrative experience
  • Experience in home services, construction, trades, or operations support is a plus
