Customer Service/Administrative Assistant

Job Overview
Atlantic Duct Cleaning is seeking a highly organized, customer-focused Customer Service Representative / Scheduler to support our growing operations team.

This position is critical to our daily operations and serves as the communication bridge between our customers, office staff, and field technicians. The ideal candidate thrives in a fast-paced environment, communicates professionally, stays organized under pressure, and enjoys solving problems while helping customers.

Key ResponsibilitiesScheduling & Dispatching

  • Coordinate and schedule commercial kitchen exhaust cleaning services using ServiceTitan
  • Assign technicians based on skillset, availability, location, and job requirements
  • Adjust schedules as needed to accommodate emergencies, cancellations, and operational changes

Logistics & Route Coordination

  • Optimize technician routes to improve efficiency and reduce travel time
  • Monitor schedules throughout the day and proactively address delays or conflicts
  • Support field teams with real-time communication and coordination

Customer Service & Communication

  • Professionally answer inbound phone calls, emails, and customer inquiries
  • Assist customers with scheduling, service questions, and issue resolution
  • Maintain a professional, empathetic, and customer-first approach in all interactions

Lead Management & Follow-Up

  • Follow up with inbound leads and estimate requests
  • Help coordinate walkthroughs and service estimates
  • Confirm upcoming appointments and perform post-service customer follow-ups

Administrative Support

  • Maintain accurate customer records, notes, and job details within company systems
  • Perform data entry and documentation with strong attention to detail
  • Assist with general office coordination and administrative tasks

Qualifications & Skills

  • Strong verbal and written communication skills
  • Excellent organization and time management abilities
  • Ability to multitask in a fast-paced environment
  • High attention to detail and accuracy
  • Professional phone etiquette and active listening skills
  • Customer-focused mindset with strong problem-solving abilities
  • Comfortable using Microsoft Office (Word, Excel, Outlook)
  • Experience with scheduling or dispatch software preferred (ServiceTitan experience is a major plus)
  • Understanding of geographic routing and logistics is a plus
  • Bilingual abilities are highly desirable
