Data Analyst II, Facilities Maintenance

The Data Analyst II reports directly to the Manager, Facilities Operations & Maintenance. This position is responsible for administering and coordinating maintenance of new and existing software systems and technology in the administrative and financial systems for Facilities Maintenance. Serve as subject matter expert for CMTA financial modules (i.e., Oracle, Planview), SharePoint, Hexagon EAM, and others. Coordinate the budget development for Facilities Maintenance programs and manage the variance reporting during the fiscal year updating the VP, Manager, and other Departmental personnel on budget status. The Data Analyst is required to work independently under limited supervision of the Manager, Facilities Maintenance with extensive latitude in using initiative and independent judgment to support the Facilities Maintenance team administratively and financially with asset management, records management, benchmarking, quality assurance support, and other assigned facility management related duties.


WHAT YOU'LL BE DOING

  • Support asset management activities within Hexagon EAM, ensuring accurate classification including updates to maintenance cycles, performing routine data audits, enforcing data standards to support reliable reporting and maintenance planning, task instructions, and recurring schedules; act as subject‑matter expert for Hexagon EAM.

  • Support the preventive maintenance program in Hexagon EAM by developing PM schedules, maintaining task libraries, automating recurring work orders, and monitoring compliance to ensure consistent and effective maintenance execution.

  • Support the development of maintenance insights by creating operational dashboards, monitoring key performance indicators, and providing recurring and ad‑hoc reporting to support data‑driven decision‑making for Facilities leadership.

  • Analyze maintenance and asset performance data to identify reliability issues, support lifecycle planning, and uncover cost drivers and operational inefficiencies that inform improvements in maintenance strategy.

  • Collaborate across internal teams and external partners to ensure CMMS data integrity, provide user support, and align system information with organizational initiatives such as capital planning, SOGR, and strategic asset management.

  • Support reactive, preventive, and predictive work order triage, assignments, and reporting; provide general facilities operations and maintenance support.

  • Oversee daily management of department supplies, equipment, and facilities, including inventory, logistics, energy management support, quality assurance, benchmarking, and security coordination.

  • Serve as department records management representative; manage archiving, retrieval, retention, and destruction of records; respond to open records requests in compliance with Capital Metro policies.

  • Maintain property record-keeping systems covering warranties, vendor work, preventative maintenance logs, property condition inspections, and building inspections.

  • Prepare and maintain cost spreadsheets for capital and operational projects; ensure monthly distribution to leadership and Finance.

  • Provide administrative and financial support to the VP, Manager, and staff; document and communicate operational needs; identify irregularities and actions required to maintain continuity of work operations.

  • Support Capital Metro’s safety culture by following safety and security policies, considering safety in every action and reporting safety and security concerns.

  • Perform other duties as required and/or assigned.


WHAT YOU BRING

  • Bachelor's degree in business administration, Administrative Services, or related field. Additional experience may be substituted on a year-for-year basis up to four (4) years.
  • Three (3) years progressively responsible experience in administrative office management which includes three (3) years accounts payables and budget preparation experience, three (3) years financial system experience, and three (3) years of SQL experience required.
  • Oracle financial systems experience preferred.
  • Enterprise Asset Management systems experience required.
  • Computerized maintenance management system (CMMS) experience required.

Knowledge, Skills, and Abilities:

  • Proficient with software related to word processing, spreadsheet preparation, and financial applications software.
  • Strong analytical skills to analyze problems and identify solutions to complex budgetary problems concerning capital projects, task order contracts, and operating accounts.
  • Demonstrated knowledge with tracking department expenses, preparing purchase requisitions, budget, status reports, managing contracts and projects, and maintaining a complex filing system following established records management procedures.
  • Excellent oral, written, and interpersonal communication skills.
  • Ability to maintain confidentiality of sensitive information.
  • Ability to manage multiple tasks and meet established deadlines.
  • Ability to maintain an effective working relationship with employees, management, contractors, and the public.
  • Professional who is detail oriented, excellent written and verbal communication skills; ability to work independent of direct supervision and work with employees, contractors, and consultants, and other city, county, and state agencies.
  • Knowledge of project management methods and practices.

Work Environment and Physical Demand:

Work is generally performed in an office environment in which there is only minimal exposure to unpleasant and/or hazardous working conditions. This position works with multiple project timelines and is responsible for managing employees performing work of a complex nature.

Incumbent must be able to stand and sit frequently throughout an eight-hour period, reach vertically for overhead use and horizontally. Must be able to use a telephone or headset equipment.

Incumbents must be able to lift and move material weighing up to 20 lbs., perform work at a computer terminal for 6-8 hours a day, and function in an environment with constant interruptions.

Mobility Status:

As a Hybrid position, onsite presence is guided by team collaboration needs, customer and front-line team member interactions, and role responsibilities. People leaders will set expectations for onsite presence; however, incumbents are generally encouraged to work 8 to 12 days in office per month. Mobility status is subject to change at any time based on business needs or organizational decisions. This position is based in Austin, Texas. Successful out-of-state candidates must relocate to the state of Texas prior to start date and may have the opportunity to work remotely anywhere in Texas after a specified period.
