Salary: $60,000 - $70,000 per year

Position Summary:

WomenVenture is seeking a detail-oriented and mission-driven individual to join our Advancement team as the Advancement Data & Reporting Specialist. This role will play a critical part in supporting individual giving, donor stewardship, and grant reporting through accurate data input, tracking, and analysis. The ideal candidate will help the organization leverage data to communicate impact, strengthen donor relationships, and achieve fundraising goals. Please note: This position is currently funded through a grant until April 2027, and WomenVenture plans to budget for this role beyond that date.


Core Duties & Responsibilities:

Advancement Data & Donor Management (30%):

  • Maintain accurate donor records including gift entry, donor contact information, and giving history in Microsoft Dynamics CRM
  • Collaborate with the Advancement team to track donor engagement and giving trends
  • Generate donor reports and dashboards to support stewardship, cultivation, and solicitation strategies
  • Assist in preparing donor lists, segmentation, and mailing data for campaigns and events
  • Support data integrity and automation efforts to streamline donor management processes
  • Generate donor acknowledgment letters and support stewardship communications

Grant Report Management (20%):

  • Collaborate with internal teams on reports needed for grants received
  • Lead WomenVenture’s grant reporting, including:
    • Manage and maintain a comprehensive Grant Master Spreadsheet
    • Manage the data collection on grant deliverables
    • Write and submit grant reports to funders
    • Understand all the grant proposal report requirements
  • Understands terms of the award and funding requirements
  • Track program activities

Organizational Reporting and Dashboards (20%):

  • Generate regular reports and PowerBI dashboards to communicate organization key performance metrics
  • Generate scheduled and ad-hoc reports required by funding and partner organizations
  • Collaborate with program managers and other stakeholders to understand data needs and provide analytical support
  • Provide timely and actionable insights to support decision-making processes across all departments

Data Collection and Quality (15%):

  • Collaborate with each department to establish data collection and management best practices
  • Clean and preprocess data to ensure accuracy and consistency in reports
  • Execute data cleaning projects to enhance reliability of historical data
  • Document processes and keep standard operating procedures updated for reporting and data management

Impact Measurement and Evaluation (10%):

  • Lead and continuously enhance WomenVenture’s impact measurement and management strategy in alignment with our mission, goals and strategic plan as well as innovations and developments in the market
  • Collaborate across departments to design and implement metrics and key performance indicators for program evaluation

Data Analysis (5%):

  • Conduct quantitative analysis using statistical methods to identify trends, patterns, and correlations within datasets
  • Identify opportunities for process improvement based on data analysis
  • Make recommendations for optimizing programs and operations
  • Make recommendations based on trend analysis for filling gaps in community needs for small businesses and entrepreneurs

Required Skills and Experience:

  • 2+ years of grant report writing experience in a nonprofit setting
  • 2+ years experience in data analytics
  • Strong project management skills
  • Expertise in data analysis tools and languages such as Excel, SQL, Python, or R
  • Understanding of nonprofit finance budgeting, fundraising, and advancement
  • Strong analytical and problem-solving skills
  • Excellent communication skills with the ability to convey technical findings to non-technical stakeholders
  • Demonstrated ability to influence cross-functional teams and stakeholders at all levels of the organization to drive initiatives and ensure successful project execution
  • Excellent cultural competencies and ability to collaborate across diverse perspectives, ideas, and people with diverse backgrounds
  • High level of commitment to issues of gender equality and the social mission of the agency

Preferred Skills and Experience:

  • Experience with Microsoft Suite including Microsoft Dynamics CRM
  • Experience with data visualization tools (e.g. PowerBI)
