Minimum Qualifications:
  • A.A. Degree; (BA degree preferred) in Social Services or related field.
  • One to Two (1-2) years of experience in data collection, case management and/or customer service.
  • OR Additional years of experience may be considered in lieu of education.

Salary Range: $20.57 - $26.84
Position Overview:
The Data and Reporting Specialist solicits, collects, analyzes, and reports data to ensure students are enrolled in approved education, training, and support service programs. The Data and Reporting Specialist enters information into the agency database and applicable funding source databases to be used for program reports, funding procurement, community assessments, and strategic planning. This position will assist the Data and Reporting management team in providing training and technical support to all OIC staff.
Essential Duties:
  • Provide support to the Data and Reporting Coordinator and Data and Reporting Manager as needed.
  • Process information submitted by all programmatic offices in a timely and accurate manner.
  • Analyze organizational and programmatic data to identify trends and ensure compliance.
  • Serve as a secondary resource for information related to applicant eligibility criteria, enrollment, and documentation procedures.
  • Assist in identifying and implementing edit checks and data integrity processes.
  • Enter applicant and participant data promptly and accurately into the system.
  • Support data relationship management within the records database.
  • Verify program information on received forms and take corrective actions as necessary.
  • Maintain file integrity and prepare income-eligible files for managerial review.
  • Assist with processing paperwork, including invoices, status reports, student timesheets, attendance records, purchase authorizations, and staff reports.
  • Enter and verify information in the Client Management System (CMS).
  • Collaborate with the accounting department to obtain additional information for processing participant support service documentation.
  • Communicate issues or discrepancies to supervisors immediately.
  • Provide data, research, and basic digital literacy training to staff, interns, and other stakeholders.
  • Assist the Data and Reporting Coordinator with regular audits of program files to ensure compliance with funding source guidelines.
  • Support completion and processing of requisitions for Outreach, Data Management, and Special Initiatives.
  • Stay current on applicable federal and state program guidelines.
  • Perform other duties as assigned.

Special Knowledge, Skills, And Abilities:
  • Proven ability to design and implement methods, procedures, and systems required for accurate eligibility determinations.
  • Exceptional communication skills, including the ability to clearly explain complex processes and terminology to individuals unfamiliar with program requirements, such as interagency staff and potential participants.
  • Demonstrated expertise in developing processes and strategies to expand and enhance the applicant pool for housing programs.
  • Strong interpersonal skills with the ability to effectively de-escalate challenging situations.
  • Comprehensive knowledge of income calculation methods for determining eligibility in low-income programs.
  • Excellent written, verbal, and reading communication skills.
  • Ability to prioritize tasks, manage multiple responsibilities, and perform effectively under pressure.
  • Highly self-motivated, with a strong commitment to confidentiality and ethical standards.
  • Detail-oriented, with the capacity to review eligibility documentation for extended periods with accuracy and precision.
  • Willingness and ability to travel frequently as required.
  • Demonstrated respect and genuine concern for diverse cultures and populations served by OIC.

Additional Conditions of Employment:
Successfully pass a Criminal History & Background Check and pass a pre-employment drug test. Maintain a current driver’s license, required motor vehicle insurance, reliable vehicle, and good driving record. Employment is conditional on CEO approval.
