Duties
- Enter and update data into company databases with precision and speed, ensuring accuracy at all times
- Manage filing systems, both digital and physical, to keep records organized and accessible
- Handle incoming calls using multi-line phone systems, providing excellent customer service and support
- Assist with front desk responsibilities, including greeting visitors and managing office logistics
- Support office management tasks such as calendar management, appointment scheduling, and document proofreading
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools to prepare reports and correspondence
- Perform clerical duties including data entry, filing, photocopying, and maintaining office supplies
- Provide customer support via phone or email, demonstrating professional phone etiquette and responsiveness
- Support bookkeeping activities using QuickBooks or similar accounting software when needed
Qualifications
- Proven experience in office administration or clerical roles with strong computer literacy skills
- Excellent typing speed with high accuracy; proficient in Microsoft Office and Google Workspace applications
- Prior experience with data entry tasks in a fast-paced environment
- Strong organizational skills with the ability to prioritize tasks effectively
- Bilingual abilities are a plus for communicating with diverse clients or team members
- Experience handling multi-line phone systems and front desk operations
- Knowledge of office management procedures including filing systems and calendar management
- Customer service orientation with exceptional phone etiquette and communication skills
- Familiarity with QuickBooks or bookkeeping software is desirable but not required
- Previous experience as a medical or dental receptionist or personal assistant is advantageous
