Duties
- Enter data into company databases and management systems with speed and accuracy, ensuring all information is correctly recorded.
- Maintain organized filing systems both electronically and physically, including document scanning and record management.
- Verify data entries for errors through proofreading and quality checks to uphold high standards of accuracy.
- Manage multi-line phone systems, answer inquiries professionally, and direct calls efficiently to appropriate departments or personnel.
- Support front desk operations by greeting visitors, handling incoming correspondence, and managing appointment scheduling.
- Assist with office management tasks such as calendar management, supply ordering, and general administrative support.
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools to prepare reports, spreadsheets, and correspondence as needed.
Qualifications
- Proven clerical or office experience with a strong foundation in data entry and administrative tasks.
- Excellent computer skills with proficiency in Microsoft Office (Word, Excel) and Google Workspace applications.
- Strong organizational skills with keen attention to detail for proofreading and verifying data accuracy.
- Ability to operate multi-line phone systems with professional phone etiquette.
- Bilingual abilities are a plus for supporting diverse customer needs.
- Experience with QuickBooks or similar bookkeeping software is desirable but not required.
- Familiarity with office management procedures including filing systems, calendar management, and customer service protocols.
