Responsibilities
- Enter, verify, and update data into company databases with speed and accuracy using tools such as Microsoft Office, Google Workspace, and specialized software like QuickBooks.
- Manage filing systems both digitally and physically, ensuring all documents are organized and easily retrievable.
- Handle multi-line phone systems with professionalism, providing excellent customer support and support to internal teams.
- Assist front desk operations by greeting visitors, managing appointments, and maintaining a welcoming environment.
- Support office management tasks including calendar management, scheduling meetings, proofreading documents, and maintaining organizational standards.
- Perform data entry tasks related to billing, bookkeeping, or medical/dental reception as needed while adhering to confidentiality protocols.
- Provide exceptional customer service by responding promptly to inquiries via phone or email while demonstrating proper phone etiquette. Qualifications
- Proven clerical or administrative experience with strong office management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and familiarity with data entry software such as QuickBooks.
- Excellent typing speed with high accuracy; strong proofreading skills.
- Experience handling multi-line phone systems and providing customer support in a professional setting.
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
- Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively.
- Knowledge of office procedures including filing systems, calendar management, and general administrative duties.
- Previous experience as a medical or dental receptionist is advantageous but not required; relevant personal assistant experience is also valued.
- Demonstrated computer literacy with an understanding of office equipment such as scanners, printers, and fax machines.
