Duties

  • Enter and update data into various software systems with speed and accuracy, including Microsoft Office and Google Workspace.
  • Manage filing systems both digitally and physically to ensure easy retrieval of documents.
  • Handle multi-line phone systems, answer inquiries professionally, and direct calls appropriately.
  • Support front desk operations by greeting visitors, managing appointments, and maintaining a welcoming environment.
  • Assist with bookkeeping tasks using QuickBooks or similar accounting tools to support financial recordkeeping.
  • Proofread documents for accuracy, consistency, and clarity before distribution.
  • Provide exceptional customer service by supporting client inquiries via phone or email while maintaining excellent phone etiquette.
  • Organize calendars and schedule appointments for team members or executives as needed.
  • Support office management activities such as supply inventory, document organization, and general administrative support.
  • Maintain confidentiality of sensitive information while ensuring all data entry tasks are completed efficiently.

Skills

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
  • Strong typing skills with high accuracy and attention to detail.
  • Excellent organizational skills to manage multiple tasks efficiently in a busy office environment.
  • Experience with data entry software or systems such as QuickBooks is highly desirable.
  • Bilingual abilities are a plus to assist diverse client needs effectively.
  • Knowledge of front desk procedures, multi-line phone systems, and office management best practices.
  • Effective communication skills with professional phone etiquette and customer support experience.
  • Familiarity with clerical tasks such as filing, proofreading, calendar management, and document organization.
  • Demonstrated ability to prioritize tasks using strong time management skills in a fast-paced setting.
  • Previous office experience including medical or dental receptionist roles or personal assistant experience is advantageous. Pay: $22.74 - $27.39 per hour
