Duties
- Enter and update data into various software systems with speed and accuracy, including Microsoft Office and Google Workspace.
- Manage filing systems both digitally and physically to ensure easy retrieval of documents.
- Handle multi-line phone systems, answer inquiries professionally, and direct calls appropriately.
- Support front desk operations by greeting visitors, managing appointments, and maintaining a welcoming environment.
- Assist with bookkeeping tasks using QuickBooks or similar accounting tools to support financial recordkeeping.
- Proofread documents for accuracy, consistency, and clarity before distribution.
- Provide exceptional customer service by supporting client inquiries via phone or email while maintaining excellent phone etiquette.
- Organize calendars and schedule appointments for team members or executives as needed.
- Support office management activities such as supply inventory, document organization, and general administrative support.
- Maintain confidentiality of sensitive information while ensuring all data entry tasks are completed efficiently.
Skills
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Strong typing skills with high accuracy and attention to detail.
- Excellent organizational skills to manage multiple tasks efficiently in a busy office environment.
- Experience with data entry software or systems such as QuickBooks is highly desirable.
- Bilingual abilities are a plus to assist diverse client needs effectively.
