Data Entry Trainer

Position Overview

Homestyle Direct is seeking a highly skilled and detail-oriented Data Entry Trainer to lead onboarding, training, and continuous development for our Data Entry team.

This role is critical to operational success and requires an individual who can master and teach complex workflows across multiple state Medicaid systems, portals, and eligibility requirements. The Data Entry Trainer will serve as the subject matter expert (SME) responsible for ensuring all team members are fully equipped to accurately process member data, maintain compliance, and adapt to evolving requirements.

This individual will be responsible for training a team of 14+ representatives, developing structured onboarding programs, delivering ongoing refreshers, and providing individualized coaching to ensure accuracy, efficiency, and consistency across the department.

Key Responsibilities

Training & Onboarding

  • Lead onboarding and training for all new Data Entry team members, ensuring readiness across systems, processes, and compliance requirements
  • Develop and maintain training materials, SOPs, job aids, and process documentation
  • Deliver structured training programs covering:
  • Medicaid and managed care workflows
  • State-specific requirements and variations
  • Portal navigation and access points
  • Internal database processes and documentation standards
  • Evaluate trainee performance and readiness through assessments, audits, and feedback

Ongoing Development & Support

  • Provide ongoing coaching, refresher training, and upskilling for existing team members
  • Identify knowledge gaps and proactively implement training solutions
  • Offer 1:1 support and remediation training for individuals needing additional guidance
  • Ensure team members stay current with policy changes, system updates, and state-specific requirements

Operational & Subject Matter Expertise

  • Develop deep expertise across all workflows performed by Data Entry representatives, including:
  • Member enrollment and reinstatement
  • Authorization management (new, updated, expired)
  • Holds, resumes, cancellations, and end dates
  • Eligibility checks and documentation
  • Communication with case managers and managed care organizations
  • Maintain working knowledge of all state Medicaid portals, access points, and submission processes
  • Act as the go-to resource for troubleshooting, escalation support, and process clarification

Quality & Compliance

  • Partner with leadership to ensure accuracy, consistency, and compliance with HIPAA and regulatory requirements
  • Conduct quality audits and use findings to inform training improvements
  • Reinforce best practices for documentation, data integrity, and communication

Cross-Functional Support

  • Collaborate with Operations, Customer Service, and leadership teams to align training with business needs
  • Support process improvements and system updates by translating changes into training materials
  • Assist in scaling training programs as the team grows

Qualifications

  • High school diploma or equivalent required; associate or bachelor’s degree preferred
  • 2+ years of experience in data entry, healthcare operations, Medicaid processing, or similar role
  • Prior experience in training, onboarding, coaching, or mentoring strongly preferred
  • Strong understanding of Medicaid processes, portals, and eligibility workflows highly preferred
  • Experience working in a high-volume, detail-driven environment
  • Proficiency in Microsoft Office (Excel, Word) and ability to learn new systems quickly

Pay: $19.87 - $22.91 per hour
