Database Sustainment Specialist

Job Summary

The Database Sustainment Specialist (DSS) is expected to provide support for all Facility Management database sustainment modules. Database modules will be maintained based on information from and under the technical direction of the Activity Facility Manager

Role and Responsibilities

  • Provide support for all Facility Management database sustainment.
  • Databases will be maintained based on information from and under the technical direction of the Activity Facility Manager.
  • Ensure most recent drawings are uploaded into CAFM. Drawings will be produced in Drawbase (CAD) or AutoCAD and are available within the BUMED HQ / Regions SharePoint Facility folder.
  • Ensure all drawing discrepancies between room inventory and Drawbase are corrected.
  • All room inventory records must be linked to a drawing.
  • Provide a list of any Work Requests and Projects that reside in a facility.
  • Facility inventory shall be reconciled against the iNFADS database on an annual basis at a minimum (contract Program Analyst to make change requests, if needed)
  • Maintain a POC list of all NAVFAC Asset Managers and their Real Property Asset Officers (RPAO)
  • Reconciliation of RPIE vs Maximo Assets to find discrepancies in Maximo.
  • DSS to Maintain PM schedules if not covered by an O&M contractor
  • Reconciliation of the Maintenance Contractors’ J Tables which list equipment included in that contract for preventive maintenance tasks
  • Tracking MAXIMO Work Orders and updating DMLSS system to reflect MAXIMO data.
  • A critical element of this task is to track the total number of Emergency, Urgent, IMP and Routine MAXIMO work orders as a percentage of total of completed/Cancelled, created, and still Open per month.
  • Maintain and update records of all active facility projects in the Project Management databases of record (eProjects, Project Tracker, etc)
  • Monitor and report design and construction project progress
  • Customer support Training Provided to Facility management and Customer Support customers (as requested)
  • DHHQ BUMED HQ -Escort vendors (vendors who perform maintenance on system furniture).
  • BUILDER Work Items Work Order Data Pull from MAXIMO
  • Missing Asset Information in MAXIMO with Field Verification
  • Working spread sheet of incorrect assets to be submitted to BOSC contractor
  • Support NAVFAC and Contractors with access to buildings and equipment
  • Gather information post POAM survey
  • Space Utilization
  • Allocation of spaces post Space Unitization_ Capturing Names and Rank and location
  • Submit Work Orders for Building via Share Point (NAVFAC Southwest), Request status updates via email
  • Update Share Point
  • Update Department Region’s Share Drive with Documents
  • Special Projects Board Spreadsheet-Update of iNFADS information and FRES, help create slides as needed
  • Building Name reconciliation between iNFADS and LogiCole/DMLSS
  • FRES Data Pull of condition history and rating
  • Assist with MAP data (iNFADS verification) as needed.
  • Access Form DD 1391 Data from PAX
  • HQ DSS – Space Utilization Specialist

o HQ DSS - Key control for workstations

o HQ DSS – Seating chart for all DHHQ personnel and at Detachments

Qualifications and Education Requirements

  • Three (3) years’ experience with Builder, Maximo and DMLSS -FM module.

Additional Notes
  • This position is on-site at a government installation, the candidate should be comfortable to undergo a background investigation.
  • Work Hours: Monday through Friday, 8 hours per day, excluding Government holidays. Personnel shall not work more than 80 hours in any two-week period. Subject to prior approval by the supported-facility POC or Facilities Manager, variations in work schedules are acceptable when the total hours per week are not exceeded and no obligation is incurred that would require personnel to be paid overtime. Due to the nature of performing services in support of healthcare facilities with an ongoing mission, it is occasionally necessary to work outside of clinic hours to de-conflict spaces. When it is necessary for to work outside of agreed upon daily working hours, the supervising site POC will provide written notice.
  • Place of support: Naval Medical Center, Portsmouth, VA.
  • The OutFit is a small business that specializes in Project Management and Quality Assurance for DOD Medical Treatment Facilities. We have numerous team contracts to perform services to the US Army Corps of Engineers. We have performed services all over the US at various Medical Treatment Facilities.
