Daycare Assistant Director

The Barrington School Assistant Director Job Description Description: The assistant director is responsible for providing leadership in the day to day operations of the program. To provide general assistance to the Director, this enabling him/her to carry out his/her responsibilities in an efficient and timely manner. The assistant director will assume the duties of the director when the director is not on the premises. Accountability: Reports to the Center Director Responsibilities: The Director is responsible for overseeing all job responsibilities. Legal / Fiscal Management • Assisting in payroll, USDA food program, ODJFS Vouchers and Parent accounts. • Knowledge of child custody, child abuse, special education, confidentiality, antidiscrimination, insurance liability, contract and labor laws pertaining to program management. • Knowledge of different federal, state, and local revenue sources. • Knowledge of bookkeeping methods and accounting terminology. • Assist in preparing and sending financial reports weekly by Tuesdays 10:00 AM. • Knowledge of different codes and regulations---Department of Children and Family Services Licensing Standards, fire occupational, safety, health, sanitation, Step Up To Quality or all other accredited programs, and Americans with Disabilities Act---as they relate to the delivery of early childhood/schoolage program services. Financial Management • PAYROLL – assist in maintaining payroll information, time sheets, child care deductions, insurance deductions, and payroll to corporate on time. Assist in keeping payroll percentage at 50% or under. Assist in keeping classrooms in ratio and send home any teacher who is not needed. • Assist in maintaining personnel records on changes in classification, rates, etc. Keep track of vacation, sick, and personal time earned and taken. • Assist in submitting the payroll report. Assist in maintaining time cards must be in the time manager. Overtime must be authorized. • Assist in completing payroll deductions for staff childcare and staff insurance. • Assist in maintaining Parent Accounts – parent ledgers, registration fees, and accounts receivable. • Assist in collecting yearly registration fees. • Receipts will be written for all cash received and sent with weekly deposits. • Assistant directors will assist in maintaining all accounts and making sure they are paid in full each Monday of each week. Full tuition is due each week regardless of the number of days that the child actually attends. The only exception to this policy is if the child is ill or on vacation for the entire week. In this case, half of the regular tuition is due prior to the child’s absence to maintain the child’s space. Rev. 3/09 2 • A letter is to be given on Tuesday to each family that has not paid the tuition for that week. • Vouchers are completed and turned in at designated times. • Deposit Voucher Checks separately from regular tuition. Make a notation to describe the County and month for the voucher. • Vouchers are reconciled when the checks are received. • USDA IEF forms are completed and eligibility is verified and sent to 1313 Ohio Pike. • USDA monthly packet should be turned in at the designated time to the designated location. • Backup of Center Child Care Manager daily. • Petty Cash Report with copy of receipts sent in by Mon.10:00AM • Bank deposits are made on Tuesday and Friday by 2:30p.m. Deposit amounts are to be recorded the on weekly financial report. • After bank deposits are made, fax the deposit slip from the center manager along with a copy of the bank receipt to the corporate office. • All cash is to be locked up until it can be deposited. • All credit card deposits sent each night by close to the corporate office. • All credit cards are to be batched out by the close of the business day. • Insures the development of inventory control practices and procedures for non-expendable equipment and expendable supplies. • Assist in coordinating the purchase and maintain the inventory of supplies and equipment. • Do not close enrollment in a classroom before checking with the Area Manager. Staff management and human relations: • Ability to relate to staff and families of diverse racial, cultural and ethnic backgrounds. • Ability to assist in motivating staff to high levels of performance. • Insures the adherence of company personnel policies and practices (DO NOT ADD TO OUR POLICIES OR CHANGE IN ANY WAY). • Skills in consensus building, team development, and staff performance appraisal. • Assist in following up after initial orientation. • Assist in developing a staffing plan to reflect enrollment patterns. • Ability to manage reflectively based on different personalities. • Encourages staff to participate in workshops and other activities that are available. • The assistant director shall assist in frequenting the classrooms and observe staff performance. The assistant director shall act as a resource person for teachers, provide in-service training and workshops as needed for staff development, and assist teachers with formal parent-teacher conferences. • Report concerns, comments, and questions to the center director. • Director or Assistant Director shall be on the premises during operating hours. If this is not possible must contact the Area Manager. • Assist in maintaining and completing all staff files are maintained and complete. • Consistently names a staff member for teacher of the month. • Supports the staff but is loyal to the center director. • Reports all concerns and situations to the center director. Has good communication with the center director. Leadership • Maintains high standards for children, staff and self. • Knowledge of organizational theory and leadership styles as they relate to early childhood/school-age work environments. • Assist in pursuing and maintaining center accreditation. • The ability to advocate on behalf of young children, their families, and the profession. • Providing an atmosphere that is supportive of a high quality work environment for staff. • Model professional work ethic and ensure continuity of care by reporting to work on time and maintaining consistent attendance. • Communicate directly and work to resolve conflicts quickly. • Maintains flexibility and consistency with all staff. Family Support • The ability to support parents as valued partners in the educational process. • Knowledge and application of family systems and different parenting styles. Rev. 3/09 3 • Knowledge of community resources to support family wellness. • The ability to implement program practices that support families of diverse cultural, ethnic, linguistic, and socioeconomic backgrounds. • Implementing system of community resources that is reflective of the needs of diverse families. • Implementing a program of parent involvement including input on parent meetings, conferences, transitions, etc. • Demonstrate a friendly, courteous professional demeanor to all parents and visitors and ensure all parents and visitors are acknowledged. • Ensure all parents’ comments and concerns are responded to with sensitivity, interest, and respect. • Maintains confidentiality. • Share resources with parents through discussions, articles, parent boards, newsletters, and community contacts. Program operations and facilities management • The ability to design and plan the effective use of space based on principles of environmental psychology and child development. • Knowledge of playground safety and design. • Knowledge of playground safety inspections. • Insure that the outside play areas are kept orderly. • Developing an inventory control system. • Implementing emergency and risk management procedures-building security lock down (fire drill tornado drill, etc.). • Ordering supplies from Lakeside. • Classroom supplies should be purchased and placed in classrooms by 8 am Monday morning. • Schedule and instruct staff on the proper cleaning procedures. • Insure that all rooms and equipment are kept clean and orderly. • Report any maintenance requests to the Area Manager. • If the assistant director works less than 5 days the director will take the balance of the days as personal leave or vacation leave. • The assistant director will clock in and out daily. Must also clock in and out during breaks when leaving the center. • The assistant director will work during the hours of 7:30 a.m. to 4:30 p.m. or 9 a.m. to 6 p.m. depending on the directors needs. Any alteration of this schedule needs to be approved by the director and the area manager. • Knowledge of ODJFS licensing rules. • The assistant director is expected to work during the holidays (not the holidays that the centers are closed) to help in the control of staff salaries. • The assistant director is expected to work in place of staff members receiving overtime. • Assist in maintaining good licensing reports. • Capable of giving an informative tour to families explaining our program (curriculum, step up to quality, etc.). • All documentation must be completed within the company’s guidelines and time limits. • Always aware of centers enrollment and openings in all classrooms. • Recruit new children, process applications, determine tuition, place children, set starting dates, maintain maximum enrollment. Inform parents of center policies. Maintains records of children’s starting dates and termination dates. • Assist in maintaining completed enrollment information on all children. • Assist in maintaining yearly medical records on all children. • Assist in completing contracts are completed by parents and on file in the center. • Assistant directors are not permitted to send children home for behavioral reasons without permission from the Center Director, Educational Coordinator or Area Manager. • Assistant Directors are responsible for assisting in maintaining and cleaning the area around the dumpster. Educational Programming • Interact frequently, affectionately and respectfully with children. • Communicates with children at their level. • Uses individual guidance practices reflecting the child’s personality and developmental level. Rev. 3/09 4 • Model positive discipline techniques. • Knowledge and application of developmental/constructivist approach curriculum models, standards for high quality programming, and child assessment practices. • Assist in implementing a program to meet the needs of young children at different ages and developmental levels (infant/toddler, preschool, and school-age). • Knowledge of administrative practices that promote the inclusion of children with special needs. • Assist maintaining the curriculum, anecdotal notes and lesson plans are implemented properly. • Assist in maintaining programming consistent with Step Up to Quality accreditation standards. • Knowledge of the Step Up to Quality Program and indicators according to star level. • Maintaining guidelines established for the Early Learning Initiative (ELI). • Become familiar with (read and become knowledgeable about) The Creative Curriculum for Infants, Toddlers, and Two’s; The Creative Curriculum for Preschool; The Ohio Early Learning Content Standards; The Ohio’s Infant and Toddler Guidelines; The Ohio Academic Content Standards K-4 • Responds immediately to a child in distress/crying. **Other duties may be assigned as the Director or Area Manager sees fit.
