Job Title: Document Controller / Reporter / Admin

Reporting To: Project Director / Project Manager
Job Purpose:
The DC/Reporter/Admin is responsible for managing all project documentation, maintaining records, preparing reports, and supporting project administration functions. The role ensures accurate documentation control, timely reporting, and efficient coordination between project teams, consultants, and clients.
Key Responsibilities:
- Maintain and control all incoming and outgoing project documents, drawings, correspondence, and records.
- Ensure proper filing, version control, and easy retrieval of all project-related documents in both electronic and hard copy formats.
- Prepare daily, weekly, and monthly progress reports as per project requirements.
- Coordinate with site engineers and departments to collect data for reports and documentation.
- Update logs for transmittals, submittals, RFIs, and other project correspondences.
- Review documents for accuracy and completeness before submission to clients or consultants.
- Maintain confidentiality and proper handling of sensitive information.
- Support the Project Director and project team in administrative tasks such as scheduling meetings, preparing minutes, and maintaining attendance and manpower records.
- Track document approvals, rejections, and pending submissions to ensure smooth project workflow.
- Ensure compliance with company documentation standards and project procedures.
- Act as a central point of communication for project document circulation and updates.
Qualifications & Skills:
- Diploma or Bachelor’s degree in Business Administration, Engineering, or related field.
- Minimum 5–8 years of experience in document control and project administration (construction or engineering preferred).
- Proficiency in MS Office (Excel, Word, PowerPoint) and document management systems (e.g., Aconex, EDMS, SharePoint).
- Strong attention to detail, organization, and time management.
- Excellent written and verbal communication skills.
- Ability to handle multiple tasks and work under tight deadlines.
- Good coordination and reporting skills.
