Delivery Dispatcher

Summary:

Ensure that each customer receives outstanding customer service by providing a customer-friendly environment which includes greeting, assisting, and thanking every customer, maintaining outstanding standards; solid product knowledge; and all other components of customer service.

The delivery dispatcher is responsible for managing, directing, and controlling all of the company’s fuel delivery dispatch activities and functions, for determining heating fuel delivery routes, and for scheduling all heating fuel and tractor trailer deliveries. The delivery dispatcher also works closely with the credit department for the overall management of credit and collections relating to the retail fuel business.

Essential Duties / Responsibilities:

  • Create delivery tickets as needed for customers and document information conveyed by customers for all delivery requests for incoming new delivery tickets
  • Pull automatic delivery tickets in Ignite on a timely basis
  • Ensure customer payments will be made based upon the guidelines for their specific credit status
  • Ensure peddle truck delivery driver routes are optimized for delivery efficiency and productivity and assist delivery drivers in routing their delivery tickets as needed
  • Contact marinas and other gasoline accounts to schedule peddle truck gasoline deliveries made during normal work hours, as well as during weekends
  • Identity large variances between expected and actual delivery amounts. Follow up with customer and/or adjust forecasting methodology as needed
  • Ensure all gas stations and bulk fuel tanks have proper fuel levels by scheduling internal and third-party tractor trailer driver routes based on the most cost-effective and practical routes possible
  • Monitor forward contract gallons and prompt gallons that need to be hauled each month and ensure they are hauled before their contact expiration date.
  • Work with accounting group to ensure that we were invoiced properly by our suppliers, and that our tractor trailer drivers hauled the correct product, being mindful of mid-day price changes
  • At end of day, ensure building, loading stations, unloading stations, and any other areas used by drivers are shut off and properly secured; and that any driver still working is all set before leaving office
  • Maintain on-call schedule for delivery drivers, service technicians (with help from Service Dept.), and on-call managers
  • Maintain inventories of gasoline and heating fuels and reconcile inventories daily
  • Post daily gasoline and distillate prices to Master Pricing Sheets, run necessary reports, and distribute
  • Assist in making sure delivery tablets are working properly and that each delivery driver has a tablet and is able to use them
  • Assist in making sure GPS tracking equipment, bulk tank fuel level monitors, and customer fuel tank monitors are working properly
  • Ensure all peddle truck and tractor trailer drivers possess all required credentials (drivers licenses, CDL A and/or B licenses, Hazmat credentials, tank endorsements, medical cards, etc.) and are adhering to uniform policies and DOT regulations
  • Work with delivery drivers to identify potentially unsafe delivery locations such as locations with bad tanks, bad fill pipes, inadequate whistles/venting systems, and unsafe driveways and filling locations
  • Report all spills, accidents, and incidents to Operations Manager, and if he/she isn't available, to General Manager. If neither of them is immediately available, contact State of NH if it is possible that a spill meets or exceeds 25 gallons. In the event of a propane discharge, call 911.
  • Ensure that all new customer onboarding procedures are followed
  • Maintain and promote all company policies, procedures, and practices including pricing and loss prevention

Qualifications / Demonstrable skills:

  • Knowledge of oil delivery business, degree days, and K factors
  • Excellent customer service skills with the ability to communicate effectively with customers, co-workers, vendors, and management
  • Strong organizational skills and attention to detail
  • Ability to communicate effectively with customers, co-workers, vendors, and management
  • Knowledge of credit and collections policies and practices
  • Ability to set priorities, work in a varying pace environment, multi-tasking when necessary
  • Ability to work independently; as well as, part of a team
  • Working knowledge of MS Office (Word, Excel, Outlook) applications.

Education / Experience:

High School diploma or GED preferred

Any equivalent combination of experience and training (5+ years) that provides the required knowledge, skills, and abilities.

Pay: $25.00 - $28.00 per hour
