Job Summary:
Nu Dentistry is seeking a friendly and professional Dental Front Office Receptionist to be the first point of contact for our patients. This role is essential in ensuring a smooth and efficient patient experience by managing the front desk, scheduling appointments, handling patient records, processing payments, and coordinating with the dental team. The ideal candidate is highly organized, detail-oriented, and committed to providing outstanding customer service.
Key ResponsibilitiesPatient Reception & Interaction:
- Welcome patients with a warm and friendly demeanor.
- Assist patients with the check-in and check-out process.
- Answer phone calls, emails, and messages professionally and courteously.
- Provide patients with information regarding appointments, treatments, and general inquiries.
Appointment Scheduling:
- Manage the office’s appointment calendar efficiently.
- Schedule, reschedule, and confirm patient appointments to maximize productivity.
- Notify patients of upcoming appointments and handle cancellations or changes promptly.
Patient Records Management:
- Maintain accurate and up-to-date patient records in compliance with HIPAA regulations.
- Process new patient registrations and update existing patient information.
- Assist in the digital or manual filing of records and required documentation.
Billing & Payments:
- Process payments, including in-person and over-the-phone transactions.
- Prepare and send invoices and insurance claims.
- Assist patients with insurance inquiries, payment options, and financial policies.
Insurance Coordination:
- Verify patient insurance coverage and eligibility before appointments.
- Coordinate pre-authorizations for treatments as needed.
- Follow up on insurance claims to ensure timely processing and payment.
Office Coordination & Support:
- Assist in ordering and maintaining office supplies and inventory.
- Ensure the front office and reception area are clean, organized, and welcoming.
- Collaborate with dental assistants, hygienists, and dentists to ensure seamless patient flow.
Patient Communication & Follow-Ups:
- Contact patients for appointment reminders, post-treatment follow-ups, and outstanding issues.
- Handle patient concerns with professionalism and escalate issues to the appropriate staff when necessary.
Technology & Software Proficiency:
- Utilize dental practice management software (e.g., Dentrix, , Open Dental).
- Manage electronic communications, including emails, text reminders, and appointment confirmations.
Compliance & Confidentiality:
- Adhere to Nu Dentistry’s office policies and procedures, including confidentiality agreements and HIPAA regulations.
- Stay updated on best practices and compliance regulations within the dental industry.
Team Collaboration:
- Work closely with the dental team to enhance efficiency and ensure patient satisfaction.
- Assist with administrative tasks and special projects as needed.
Qualifications
- Education: High school diploma or equivalent (some college or specialized training in dental administration is a plus).
- Experience: Previous experience in a dental or healthcare office is preferred.
- Skills: Strong communication, organization, and multitasking abilities. Proficiency in dental software, Microsoft Office, and general office equipment.
- Attributes: Patient-focused, friendly, and professional with strong problem-solving skills. Ability to work in a fast-paced environment and handle multiple tasks efficiently.
Physical Requirements
- Ability to sit, stand, and walk for extended periods.
- Ability to lift and carry office supplies or equipment as needed.

- Hours: 40 hours per week (8-hour shifts)
- Pay: $15.00 - $20.00 per hour
