Job Summary
We are seeking a dedicated and detail-oriented Dental Front Office Assistant to join our La Habra Clinic dental team. The ideal candidate will possess excellent organizational skills, a friendly demeanor, and a strong understanding of dental office operations. As a key member of our front desk team, you will be responsible for managing patient interactions, scheduling appointments, verifying insurance, and ensuring smooth administrative workflows.
Responsibilities
- Greet patients warmly and professionally upon arrival, ensuring a positive first impression.
- Manage appointment scheduling using dental practice management software such as Dentrix and EPIC, coordinating with clinical staff to optimize patient flow.
- Verify insurance coverage and benefits and ensuring accurate billing and claims processing
- Collect payments, process medical collections, and handle billing procedures with attention to detail and compliance with HIPAA regulations.
- Maintain accurate and organized patient records in electronic health record (EHR), including documentation review and data entry.
- Answer multi-line phone systems with professional phone etiquette, addressing patient inquiries and routing calls appropriately.
- Assist with administrative tasks such as filing, faxing, data entry, and managing office supplies to support daily clinic operations.
- Support the clinical team by preparing intake forms, updating medical histories, and facilitating communication between patients and providers.
- Other duties as assigned.
Requirements
- Proven experience in a dental office or medical administrative support role with familiarity in dental terminology and medical coding practices including CPT, ICD-9/10 coding.
- Strong knowledge of dental practice management software such as Dentrix.
- Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel) and typing accuracy (10 key typing).
- Knowledge of HIPAA regulations to ensure patient confidentiality and data security at all times.
- Ability to perform insurance verification accurately using systems like Athenahealth or similar platforms; experience with Medicare is a plus.
- Exceptional customer service skills with the ability to communicate effectively with diverse patient populations; English/Spanish Bilingual required.
- Prior clinic or healthcare office experience along with clerical or front desk experience in a medical or dental setting is required.
