Dental Insurance and Treatment Coordinator (with Front Office Duties)

Overview

We are seeking a highly organized, professional, and patient-focused individual to join our dental practice as a Dental Insurance and Treatment Coordinator. This vital role is responsible for ensuring patients understand their treatment plans and financial obligations, maximizing insurance benefits, and coordinating smooth workflow between clinical and administrative functions. The ideal candidate will also confidently manage daily front office tasks, acting as the first point of contact for our patients.

Key Responsibilities - Insurance and Financial Coordination

  • Insurance Verification: Accurately verify patient insurance eligibility, benefits, limitations, and frequency restrictions prior to treatment.
  • Claims Processing: Prepare, submit, and track dental insurance claims (both PPO and potentially other plans) in a timely and accurate manner. Manage claim appeals and follow up on outstanding claims.
  • Pre-Authorizations: Secure necessary pre-authorizations and pre-determinations for major dental procedures.

Treatment Presentation and Scheduling

  • Treatment Presentation: Confidently present and explain complex treatment plans to patients, ensuring they understand the procedures, benefits, and long-term value.
  • Financial Arrangements: Discuss estimated patient financial responsibility, review available payment options (including third-party financing like CareCredit), and secure financial commitments.
  • Scheduling: Strategically schedule appointments to maximize clinical efficiency, meet production goals, and ensure patient flow for treatment acceptance.
  • Follow-up: Maintain a recall system for tracking and following up with patients who have outstanding treatment plans.

Front Office Administration (Daily Tasks)

  • Patient Communication: Professionally answer high-volume phone calls, addressing patient inquiries, and managing practice correspondence (email, text).
  • Check-In/Check-Out: Greet patients warmly, ensure all necessary demographic and insurance forms are completed accurately, and manage the check-in process. Efficiently handle the check-out process, including collecting co-pays and scheduling follow-up appointments.
  • Record Management: Maintain and update patient records (electronic and paper) in compliance with HIPAA regulations.
  • Office Flow: Maintain the appearance and organization of the front reception area.

QualificationsRequired Skills and Experience

  • Experience: Minimum of 2-3 years of experience in a dental office setting, specifically in a Treatment Coordinator or Insurance Coordinator role.
  • Dental Software: Proficiency with dental practice management software Open Dental.
  • Insurance Expertise: In-depth knowledge of dental terminology, CDT codes, PPO insurance protocols, and claims submission processes.
  • Communication: Exceptional verbal and written communication skills with the ability to communicate financial and clinical information clearly and empathetically.
  • Customer Service: Proven ability to provide outstanding customer service and maintain professionalism under pressure.
  • Organization: High level of attention to detail and strong organizational skills.

Work Environment and Benefits

  • Hours: This position will start Part Time, Monday-Wednesday, 8:30 AM - 5:00 PM, then transition to full-time Monday-Thursday 8:30 AM - 5:00 PM, Fridays will be as needed.

Pay: From $23.00 per hour
