Dental Patient Registration Team Lead

Position Summary: The Patient Registration Lead supervises and coordinates all patient registration and administrative services. Leads and manages the front end of the revenue cycle and directly supervises patient registration staff with respect to scheduling reception, insurance, health records, and transportation coordination. The Patient Registration Lead works in a collaborative effort with all supervisors of PHS.

Essential Functions:

  • Provide the overall direction, coordination, evaluation, coaching, and development of staff. This includes interviewing, hiring, orienting, and training employees; planning, assigning, and directing work; providing timely feedback, appraising performance, and providing professional development opportunities; and rewarding and disciplining employees. Proactively address and resolve staff concerns and explore and implement methods and procedures for improving departmental workflow and service to Tribal Citizens.
  • Coordinates all aspects of patient registration, scheduling, insurance verification, patient health records, patient statements, transcription and financial counseling functions; ensure that all aspects of these functions support optimal patient and provider satisfaction.
  • Ensures all front-end activities are consistent with policies and procedures; provides and supports ongoing recommendations for optimization of front-end processes in response to ever changing reimbursement rules regulations and methodologies; implements such changes as directed.
  • Works directly and in strong collaboration with the Revenue Cycle team to maximize appropriate reimbursement in a cost-effective manner.
  • In coordination with the Business Manager, implements registration processes for the Purchased/Referred Care program.
  • Keeps abreast of changes in reimbursement contracts, rules and regulations as they apply to front end revenue cycle functions; adapts all requisite policies/procedures, I.H.S. regulations, staffing and training to ensure compliance.
  • Recommends and/or implements action plans to increase patient satisfaction.
  • Provides scheduling and Electronic Health Record oversight, troubleshooting, instruction and configuration in collaboration with PHS staff and IT.
  • Prepares and distributes various key operational metrics to internal leadership and staff.
  • Work with PHS department directors/supervisors to determine work allocation, training, promotion, enforcement of internal procedures and controls, and problem resolution for patient registration personnel.
  • Serves as a primary contact for technical areas such as patient registration, scheduling, health records, and documentation.
  • Collaborate with PHS department directors/supervisors in all aspects of patient care and satisfaction.
  • Performs other duties as assigned.

Equipment:

  • Standard office equipment.
  • Systems used: MS Office 365 applications, Internet, Electronic Health Records

Position Requirements:

  • Associates degree in a related field from an accredited institution whose program of study has been recognized by the council for higher education accreditation or the U.S. Department of Education or an additional two (2) years of proven supervisory experience required.
  • Excellent communication and interpersonal skills both written and oral; and the ability to speak effectively and respond to questions.
  • Knowledge, intellect, temperament, and flexibility to work effectively in a fast-paced, environment required.
  • One (1) year proven supervisory experience required.

Medical:

  • Two (2) years of front-line medical office experience required.
  • Electronic Medical Record experience required, experience with EPIC preferred.
  • Proven knowledge of medical terminology.

Dental:

  • Two (2) years of front-line dental office experience required.
  • Electronic Dental Record experience required, experience with Eaglesoft/EPIC Wisdom preferred.
  • Proven knowledge of dental terminology.

Physical/Mental Requirements:

  • Work is generally sedentary in nature and will frequently require sitting, however standing and walking will occasionally be necessary.
  • Frequently required to use hands and fingers to operate equipment.
  • Frequently required to talk and hear.
  • There are many deadlines associated with this position. The employee must be able to handle frequent interruptions and must also prioritize and interact with wide variety of people and complicated issues.

Work Environment:

  • General office environment. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed within an office environment, with standard office equipment available.
