Summary of Job Profile

Attend to patients both in person and over the phone, manage appointments, and handle administrative tasks to ensure the smooth and efficient running of the dental office.

Essential Duties & Responsibilities

Pre-Clinical Management

  • Greet patients and answer calls within 3 rings.
  • Check missed calls/answerphone messages and return calls promptly.
  • Call patients to confirm appointments; send SMS/Email if no response.
  • Send SMS confirmations for appointments and birthday alerts.
  • Manage all incoming calls professionally.
  • Provide accurate information to all enquiries.
  • Schedule and confirm patient appointments as per clinic protocol.
  • Monitor all doctors’ appointment diaries and ensure correct booking.
  • Call patients from the waiting list when slots are available.

Patient Management

  • Register new patients according to clinic protocols.
  • Assist patients with all required forms and documentation.
  • Verify and update patient information.
  • Explain clinic policies and procedures clearly to patients.
  • Ensure smooth patient flow; coordinate delays with doctors and inform patients accordingly.

Post-Clinic Management

  • Make patient care follow-up calls
  • Enter all relevant patient information into the system accurately.
  • Collect payments, record them correctly, tally cash/credit reports, and hand over to the person in charge.
  • Send Daily Income Report to the management team.
  • Inform patients about financial treatment plan options.
  • Arrange payment schedules when needed.

Insurance & Administrative Duties

  • Maintain patient records according to privacy and security standards.
  • Organize patient charts for next-day appointments.
  • Manage cancellations and no-shows.
  • Arrange referrals to specialists or other branches.
  • Dispatch lab work correctly.
  • Prepare and submit dental insurance claim forms.
  • Arrange supporting documents for claims.
  • Sort incoming and outgoing mail.
  • Keep reception and working areas clean at all times.
  • Perform any additional related duties as assigned.

Education & Experience

  • High school diploma or equivalent
  • Knowledge of dental terminology and procedures
  • Familiarity with computers and software systems
  • General administrative and clerical skills
  • Experience with dental insurance is an advantage
