Job Summary
Provides administrative and secretarial support to the Department Chairperson, faculty, and adjunct faculty in the Department of Mathematics. Works closely with the Department Chairperson as a team member and serves as a representative of the department to students and the campus community. Performs a variety of administrative duties, including answering telephones; managing the Chairperson’s calendar; maintaining budget records; preparing timesheets and book orders; and preparing and finalizing documents, including correspondence, teaching loads and schedules, course outlines, and exams. Prioritizes workload and manages confidential information with discretion. Processes purchase requisitions and budget transfers for the department using the Colleague system. Demonstrates patience and sensitivity when assisting students from diverse backgrounds; directs students to appropriate faculty or departments; and assists students with concerns as needed. Works independently while taking initiative in preparing and completing special projects. Demonstrates proficiency in web conferencing tools and online filing repositories, including shared drives and cloud-based services.
Qualifications - Education
Two year Associate degree or some credits towards an Associate degree and 1-2 years administrative experience OR high school graduate and 3-4 years of administrative experience.

Related experience as noted above preferably in a school or academic setting.
Qualifications - Skills
Excellent communication skills and strong phone and customer service skills. Knowledge of Microsoft Office (Outlook, Word, PowerPoint, and Excel). Ability to work under pressure while remaining patient, diplomatic, and polite, and to foster camaraderie among department members. Strong attention to detail and self-motivation, with sensitivity in handling confidential information. Ability to maintain accurate budgetary records. Familiarity with Ellucian Colleague and web conferencing tools; knowledge of online filing repositories is a plus.

8:30 a.m. – 4:30 p.m. (Monday-Friday, maximum 35 hours/week)
