Job Summary:


We are looking for a detail-oriented and proactive Department Assistant with 3 to 8 years of relevant experience to support our department’s administrative and operational functions. The ideal candidate will possess strong organizational skills, the ability to multitask effectively, and excellent communication abilities, including a good command of the English language. This role is essential to ensuring the smooth day-to-day operations of the department and contributing to the achievement of its objectives.


Responsibilities:


  • Provide comprehensive administrative support to the department head and team.
  • Manage calendars, schedule meetings, and coordinate appointments.
  • Prepare and distribute internal and external correspondence, including reports and presentations.
  • Maintain and organize department records, files, and databases.
  • Assist with budget tracking, expense reporting, and invoice processing.
  • Arrange travel and logistics for department staff.
  • Handle incoming calls and inquiries, directing them as necessary.
  • Support planning and execution of department events and projects.
  • Monitor and maintain office supplies, ensuring uninterrupted department operations.
  • Assist in the preparation of materials for meetings and presentations.


Qualifications:


  • Bachelor’s degree or equivalent professional experience.
  • Very good command of the English language (both written and verbal communication).
  • Detail-oriented, with the ability to work independently and within a team.
  • Strong problem-solving skills with a proactive approach to tasks.
  • Ability to manage multiple priorities while maintaining accuracy under pressure.
  • Discretion in handling confidential information.
  • From 3 to 8 years of administrative or assistant experience, preferably in a corporate environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience supporting senior management or large teams is preferred.
  • Familiarity with project management tools and software is an advantage.
  • Knowledge of budget management and financial tracking processes is a plus.
