Duties
- Assist in managing official city records, including filing, indexing, and archiving documents in compliance with legal standards.
- Support the preparation and distribution of city council agendas, minutes, and resolutions with precision and attention to detail.
- Answer multi-line phone systems promptly using professional phone etiquette; direct inquiries to appropriate departments or officials.
- Provide front desk support by greeting visitors, handling inquiries, and offering bilingual assistance to ensure accessible communication for all residents.
- Manage calendar schedules for city officials, coordinate meetings, and organize appointments using office management tools such as Microsoft Office and Google Workspace.
- Perform data entry tasks accurately into various databases like QuickBooks for financial records or other specialized software used by the city.
- Support clerical functions such as proofreading documents, maintaining filing systems, and supporting bookkeeping activities related to city finances.
- Handle customer support requests efficiently, providing excellent service in person or via phone while maintaining professionalism and patience.
- Assist with office management duties including supply inventory, document preparation, and maintaining a clean, organized front desk environment.
Qualifications
- Proven experience in office management or administrative roles with strong clerical skills; previous experience in municipal or government settings is a plus.
- Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and data entry software like QuickBooks.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment; strong time management is essential.
- Exceptional customer service skills with professional phone etiquette; bilingual abilities are highly desirable to serve diverse community needs.
- Familiarity with multi-line phone systems and front desk operations; experience as a dental or medical receptionist or personal assistant is advantageous.
