General Description



The Deputy Court Clerk will be responsible for assisting the Court Clerk with administration of the AST Tribal Court and for all such administrative and ministerial duties prescribed by the Court Clerk. The Deputy Court Clerk will be responsible for assisting the Court Clerk, Attorney’s, Judge’s and Attorney Generals with any basic needs they have such as; sending the files per request, scanning or filing. The Deputy Court Clerk will work side by side with the Court Clerk on most matters, and will have the ability to maintain the same knowledge on cases as the Court Clerk. The Deputy Court Clerk will maintain a professional atmosphere concerning cases and anonymity.


responsibilities & Duties



  • Responsible for the preparation and maintenance of closing all case file within one of the following areas of responsibility: Criminal, Civil, Small Claims, Domestic and Juvenile.
  • Attend and record all court hearings, arraignments and trials.
  • Transcribe recorded cases as needed.
  • Prepare, copy and distribute all case related materials.
  • Notify appropriate parties of court dates and/or changes and will send out all notices of hearings prior to each docket.
  • Attend informal hearings.
  • Meet and work with people in sometimes stressful situations.
  • File, index and docket court actions.
  • Answer the telephone.
  • Provide general assistance to the AST Court System.
  • Will prepare files monthly for Court Clerk to make the Docket. Once the Dockets are complete then will send these out to Judges and appropriate parties, i.e. Attorney’s, Child Support Enforcement and Guardian Ad Litem.
  • Scan files into Kellpro
  • Archive files that are 10 years or older in January of each year, with the exception of Juvenile cases which will be archived once 18 years old.
  • Will help move all files to Procurement storage when archiving is completed each January.
  • Following Court “new” Court Minutes and any other documents submitted or filed will be scanned into Kellpro.
  • Other duties as assigned


Qualifications



Education and Qualifications
  • Must possess a high school diploma or GED equivalent. An Associate’s Degree or Certificate for Court is preferred. Must possess a minimum of two years prior secretarial work experience. Prefer work experience in a court system.
  • Be a motivated, self-starting individual and possess strong organizational skills with substantial record management experience.
  • Possess an understanding of the legal process, be willing to learn and take direction from our Tribal Court Judge.
  • Be familiar with Absentee Shawnee Judicial Code. Possess legal research skills to assist the Court.
  • Possession of, or ability to obtain, Notary registration within 30 days of hire.
  • Possess a working knowledge of Microsoft Office and a familiarity with accessing legal research on-line.
  • Knowledge of Tribes and Tribal Culture preferred.
  • Effective oral and written communication skills.
  • Must have a valid Oklahoma Driver’s License.
  • Must be able to pass a background check.
Physical Requirements
  • Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
  • Frequent lifting (up to 15 lbs)
  • Occasional lifting (up to 30 lbs)
