Deputy District Court Clerk

Under general supervision, performs a variety of tasks involved in the processing of traffic, civil, small claims, landlord, tenant, and criminal cases. Provides information and assistance to law enforcement authorities, attorneys, defendants, and court patrons. Performs related duties as required.

Supervision Received:

Works under the supervision of the District Court Judge and the Court Administrator.

Responsibilities/Functions:

An employee in this position may be called upon to do any or all of the following essential duties. These examples include all of the duties which the employee may be expected to perform.

  • Open, process, and close general civil, small claims, and summary proceeding cases. Record and process complaints and pleadings, distribute and file civil documents, enter case information into the computer, coordinate service of process, prepare legal documents, and enter defaults, orders, and judgments and schedule hearings with the Court.
  • Issue and process garnishments and other post-judgment matters.
  • Receive and receipt money over the counter and via mail for fines, costs, filing fees, bonds, and restitution.
  • Process appeals to the Circuit Court and handle judicial assignments and disqualification documentation.
  • Act as back-up District Court Clerk.
  • Assist in processing criminal cases and traffic tickets in the absence of the Magistrate or District Court Clerk.
  • Answer telephones and assist court patrons at the counter, explain individual rights, answer questions about court policy and procedures, and refer individuals to the appropriate party.
  • Review court files to determine readiness for hearing, trial, and other court proceedings.
  • May prepare the daily bank deposit.
  • Assist in opening, sorting, timestamping, and processing mail daily.
  • Operate office machines, such as copiers, calculators, computer terminals, and printers.
  • Pay bills, order supplies, and order court forms as needed.
  • Administer language line needs and billing.
  • Act as back up to Court Recorder when needed.
  • Perform all duties related to Court Recorder position when assigned.
  • Perform other duties as assigned.

Required Knowledge and Skills:

  • Thorough working knowledge of Court operations, policies, practices, and courtroom procedures.
  • Thorough working knowledge of criminal, civil, small claims, landlord-tenant, and traffic statutes, case law, rules, and regulations.
  • Thorough working knowledge of records retention practices, confidentiality and security of records, and accessibility of records.
  • Good interpersonal and oral and written communication skills in order to maintain good working relationships with all parties involved in the operation of the judicial system.
  • Demonstrated proficiency in the use of word-processing, spreadsheet, database, and other applications software.
  • Ability to interact objectively and positively with Judges, Prosecutors, Attorneys, Law Enforcement Officers, community representatives, plaintiffs, defendants, and Court personnel from widely divergent socio-economic and cultural backgrounds.

Licensing/Certification:

  • Must be bondable and must possess a valid driver's license or other official acceptable identification.
  • Must be certified or become and maintain a state certified Court Electronic Recorder or Operator (CER/CEO) to be able to fill in when required.

Education/Experience:

  • Possession of a high school diploma or the equivalent with some coursework in typing and office procedure.

Pay: $18.82 - $21.65 per hour
