Design Assistant & Studio Coordinator

Design Assistant & Studio Coordinator

Interior Design | Pompano Beach, FL

About the Role

We are a growing high-end residential design and supply firm based in Lansdale, PA and we have a showroom in Pompano Beach, FL. Our founder designs from the inside out environment first, materials second, product last. Every project we touch should feel like it was designed with a specific experience in mind. She is looking for a talented, organized person to work closely alongside her as she scales the business.

This role combines design production with studio and schedule coordination. On any given day you might be producing kitchen drawings, researching specialty materials, drafting a supplier inquiry, or making sure the 3 o'clock call is on the calendar before it falls off the radar. You will be one of the key members in a tight-knit team, which means the work is varied, the learning is constant, and what you contribute will be visible and meaningful.

We are looking for someone who is both a skilled designer and a naturally organized person who takes pride in making a high-performing environment run smoothly and who genuinely wants to grow inside a firm that is building something special.

What You Will Be DoingDesign Production

  • Produce kitchen and bath drawings in 2020 Design, floor plans, elevations, finish schedules, and specifications that are accurate, presentation-ready, and ready to execute
  • Translate design concepts into AutoCAD drawings
  • Work from the founder's design direction and translate it into technically sound, visually compelling drawings and materials
  • Prepare finish boards, selections packages, and presentation materials for client reviews
  • Build and maintain the firm's high end residential portfolio, organizing project photography, preparing case studies, and helping shape how the work is presented to prospective clients
  • Revise drawings and selections efficiently and accurately as projects evolve
  • Maintain clean, organized drawing files and project documentation so the team can always find what they need

Material & Product Research

  • Research and source materials across categories, cabinetry, hardware, tile, plumbing fixtures, lighting, and specialty items including imported and custom product lines
  • Stay current on new product introductions relevant to the firm's project types, including building envelope, waterproofing, and construction materials as the supply house grows
  • Support vendor relationship management and build working knowledge of the firm's preferred suppliers
  • Help prepare product specs and sourcing summaries that the design and project team can act on

Calendar & Schedule Coordination

  • Manage the principal's calendar, scheduling client consultations, supplier calls, site visits, trade show commitments, and focused work blocks
  • Make sure every commitment is confirmed, on the calendar, and briefed before the day arrives, nothing should live in someone's head when it can live on a schedule
  • Provide proactive time reminders during the workday, including flagging when a meeting is coming up or when it is time to wrap up so the day stays on track
  • Coordinate logistics for travel including domestic and international trips, trade shows, and supplier visits, flights, hotels, ground transportation, and itinerary preparation
  • Track outstanding items and deadlines across active projects and flag when something is at risk before it becomes a problem

Communications & Follow-Through

  • Draft outgoing correspondence on behalf of the principal, vendor inquiries, client follow-ups, supplier communications, and internal updates, with a warm, professional tone that represents the firm well
  • Manage inbox prioritization: surface what needs the principal's attention and handle or route what does not
  • Track open loops from meetings and calls, who said what, what was agreed, what still needs to happen and make sure nothing gets dropped
  • Handle inbound inquiries with good judgment and professionalism

Studio Operations

  • Keep project files, design versions, and documentation organized and current in Houzz Pro
  • Prepare materials for client presentations and internal reviews
  • Support day-to-day coordination that keeps projects and vendor relationships moving cleanly
  • Keep the studio, physical and digital, organized and presentation-ready at all times

What Growth Looks Like Here

  • Months 1–3: You know the software, the product lines, and how the firm operates. Drawings are clean, the calendar is under control, and the principal is more effective because you are there.
  • Months 4–6: You are anticipating needs before they are voiced, contributing ideas during the design process, and taking on more of the coordination load independently.
  • Year 1+: You have internalized the firm's design language and rhythm. Clients and vendors know your name. You are helping build something, not just supporting it.
  • Year 2+: You are growing into carrying projects with oversight and helping shape how the next person we hire gets up to speed.

What You Bring

  • 1–3 years of experience in a design studio, residential firm, or hybrid design-coordination role
  • Solid proficiency in 2020 Design, able to produce accurate drawings at a good pace with incredible attention to detail.
  • Experience managing a calendar and keeping a busy person organized and on schedule
  • Strong drafting fundamentals, you are comfortable with floor plans, elevations, and construction documents
  • Clear, professional written communication, you can draft a message that sounds like the person it is coming from and that represents the firm with warmth and precision
  • Genuine attention to detail, a misaligned dimension or a missed follow-up bothers you before someone else notices it
  • Self-managing and organized, you build systems that work, not just lists that grow

What Will Make You Stand Out

  • Experience working closely with a founder, creative director, or principal designer in a fast-paced studio
  • Exposure to high-end or luxury residential projects and an understanding of what discerning clients expect
  • Background with imported or specialty materials, custom millwork, or global supply chains
  • Curiosity about building science, construction methods, and the materials behind beautiful spaces
  • Proficiency in AutoCAD, Chief Architect, or SketchUp, please indicate your level
  • Experience with Houzz Pro or similar project management platforms
  • Bilingual in Spanish

The Kind of Person We Are Looking For

You are warm, organized, and genuinely invested in the work. You take direction well and you take initiative well and you know which one the moment calls for. You ask good questions early rather than guessing and getting it wrong.

You care about detail in a way that feels natural rather than labored. When something is off, a dimension, a deadline, a meeting that did not get confirmed, you notice it and you fix it. That instinct is what the principal needs in the person closest to her work.

You are comfortable in a role that moves between creative work and operational support, and you see both as equally important. You understand that helping someone do their best work is meaningful work in itself.
