Job Summary
The Development Assistant welcomes visitors and callers to the Foundation and provides important clerical and administrative support to ensure all office functions are completed in a timely manner. In addition to providing administrative support to the Executive Director and Foundation staff, this role is responsible for supporting the implementation of all special events and fundraising activities.
Essential Functions
- Manage incoming calls, assist callers, resolve donor issues independently, and regularly check voicemail.
- Handle incoming/outgoing mail and route staff correspondence.
- Assist with creation and distribution of e-newsletters.
- Support all aspects of event logistics: PR, advertising, collateral design, press releases, and ticket sales.
- Coordinate with event vendors and support volunteer committees, including recruitment, training, supervision, and follow-up.
- Solicit silent auction items, prizes, and in-kind donations.
- Contribute to social media content and maintenance.
- Accurately enter donor gifts/information in the database and process timely acknowledgment letters.
- Assist with mass mailings (invitations, Save the Dates, solicitations, etc.).
- Draft, compose, and proof correspondence with minimal supervision.
- Provide administrative support to the Executive Director and for all Board/Committee meetings (scheduling, RSVPs, materials).
- Perform general office duties including photocopying, filing, postage meter maintenance, and tidiness of common areas.
- Foster open communication with staff and attend assigned Foundation and organization functions.
- Lift up to 25 lbs as needed.
- Perform other duties as assigned by the Executive Director.
Knowledge, Skills & Abilities
- Proficient in Microsoft Office (Word, Excel), Adobe and Canva.
- Strong phone/email communication and social media skills (Facebook, Instagram, LinkedIn).
- Valid Florida driver's license required.
- Effective team collaborator with excellent written and oral communication skills.
- Strong interpersonal skills to interact professionally with staff, donors, volunteers, and participants.
- Ability to multitask, manage projects independently, and meet deadlines with accuracy.
- High attention to detail and ability to maintain donor confidentiality.
- Flexible schedule with availability for evening/weekend events.
Job Type: Full-time
Pay: $15.00 - $17.00 per hour

Education:
- High school or equivalent (Required)
Experience:
- Executive administrative support: 1 year (Preferred)
- Social media management: 1 year (Preferred)
- Digital marketing: 1 year (Preferred)
License/Certification:
