Development Coordinator

Job Title: Development Coordinator

Status: Full Time / Hourly

Salary Range: $23-25/hour

Reports to: Development Director

General Summary: The Development Coordinator serves as the operational engine of the development department, working in close, collaborative partnership with the Development Director. While the Director focuses on fundraising strategy and external relationship-building, the Coordinator is responsible for turning those big-picture strategies into highly executed realities. This role owns the management and maintenance of donor data, the execution of fundraising event logistics, the coordination of segmented mail campaigns, and the implementation of departmental timelines. This role requires an operationally disciplined individual with exceptional organizational skills, extreme attention to detail, and a passion for creating and maintaining efficient systems.

Essential Functions (but not limited to):

Appeals Management

  • Responsible for executing the Appeals process for four appeals per year, managing and coordinating inputs from Directors, printing, and volunteers, with support and approval from the Development Director.
  • Create and implement a process to ensure mailing deadlines are met.
  • Coordinate communication segmentation and thank you responses.
  • Meet KPIs associated with the Appeals and Development Plan. Develop and execute reporting tools in conjunction with the KPIs.

Fundraising Event Management:

  • Responsible for planning and executing logistics for all fundraising events, including our Spring Luncheon, Fall Dinner Fundraiser, and other new donor engagement events.
  • Coordinate all event communications and manage the communications timeline.
  • Equip volunteers and staff to support the execution of events in the critical weeks leading up to and following each event.

Donor Database Management:

  • Maintain organizational data in the Little Green Light donor database with consistency and attention to detail for all donor and gift entries.
  • Manage all donor database operations including data entry, gift recording and acknowledgments, gift reporting, and regular data hygiene.
  • Maintain online giving forms, creating new forms as needed.

Communications:

  • Prepare donor queries, written acknowledgment letters, and other donor literature.
  • Serve as project manager for the comprehensive donor communication calendar, ensuring strict adherence to the timeline for all contributors to each piece of communication.
  • Maintain website CMS, coordinating with web hosting partners for larger website edits.
  • Create and maintain impactful stewardship rhythms for monthly donors.

Reporting and Analysis:

  • Develop reports for the Development Director and Executive Director.

General Support:

  • Other duties as assigned.

Qualifications:

Required:

  • Experience: 2–3 years of full-time professional office experience, ideally in an administrative, assistant, or coordinator role.
  • Execution Focus: A proven track record of taking broad concepts, ideas, or strategies and building the step-by-step processes required to execute them successfully.
  • Technical Skills: Proficiency with MS Office Suite (Word, Excel) and direct experience working with databases (CRM or donor databases preferred).
  • Communication: Strong verbal and written communication skills with a professional presentation and an engaging, donor-centric personality.
  • Organization & Timeline Management: Exceptional organizational skills and razor-sharp attention to detail; proven ability to manage timelines, hold contributors to deadlines, and meet goals under pressure.
  • Discretion: Demonstrated ability to handle sensitive and confidential financial or personal donor information with tact.
  • Collaboration: Ability to work both independently and collaboratively with a strong customer-service orientation toward donors, volunteers, and staff.

Desirable:

  • Prior experience working or volunteering in a nonprofit development/fundraising setting.
  • Specific experience with Little Green Light or similar donor management software.
  • Experience working collaboratively with diverse racial, ethnic, socioeconomic, and religious backgrounds.
  • Fluency or proficiency in Spanish.
  • Residency in Kent County.

Compensation and Details:

This is a full-time, in-person position with an optional one day remote per week. We offer support for professional development and a driven, highly collaborative, supportive work environment.

  • One day per week offsite if desired.
  • Communicate with the Development Director about any schedule changes
