Position Summary: The Development & Data Coordinator will provide quality administrative support for Willis Dady’s Development team. This position will focus on enhancing donor stewardship initiatives, managing Willis Dady’s CRM management tools, financial reporting, and agency data compliance. This collaborative role will manage progress towards goals and the impact of agency fundraising, compliance, and donor-stewardship efforts. Additionally, this role will be the manager of our CRM donor databases and HMIS system. Their attention to detail will ensure that information is accurate and purposeful to aid fundraising initiatives and grant compliance. The Development & Data Coordinator will report to the Community Engagement Manager. Attention to detail and organization, consistent follow-through, the ability to support multiple ongoing and new projects, and independent problem solving will be essential for success in this position.
This is a full-time position (40 hours/week) with an hourly rate of $21.45/hour and a competitive benefits package: 75% health premium covered by the agency, dental and vision plans, 3% Simple IRA match, short-term and long-term disability, life insurance, paid time off, personal days, flexible scheduling, and a 30-day paid sabbatical after five years of employment. Requirements
The Development & Data Coordinator must be self-driven and motivated to work in a mission-based environment serving individuals experiencing homelessness.
Qualified candidates should have:
- 2-year degree and minimum 3-years of experience working in a professional office setting. Alternatively, 5 years of experience in the nonprofit administration field in lieu of a degree.

- Have no serious misdemeanor or felony convictions for the last 7-years
- Ability to travel throughout Linn County, a valid driver’s license, and access to a reliable vehicle. All work-related travel expenses will be reimbursed by Willis Dady.
- Ability to work well independently and with a team.
- Must have time management skills to make independent decisions about schedule, travel, etc.
- Strong verbal and written communication skills.
- Demonstrated openness and respect for all clients regardless of personal differences
- Proficiency in Microsoft Online tools, Google Sheets, CRM tools (Bloomerang & Givebutter), etc.
Principle Responsibilities/Duties
Provide administrative support to Willis Dady’s annual donor stewardship initiatives through the Annual Fundraising Plan, Strategic Plan, and Stewardship Matrix.
- Manage recordkeeping and tracking systems related to agency donor-stewardship initiatives
- Create sponsorship, annual case for support, and legacy giving packets
- Analyze initiative reports and produce historical trend data to inform future strategy
- Support the Development Team with presentations, tours, and events as needed
Manage Willis Dady’s donor databases to ensure accurate donor and financial information for successful prospecting, fundraising, and recordkeeping.
- Track progress towards fundraising goals with custom financial reports
- Complete weekly transaction, payout, and post-event revenue reports from fundraising platforms for Accounting Team & complete monthly reconciliation
- Record all financial donations into Willis Dady’s Donor Database
- Ensure timely acknowledgement of gifts
- Manage donor segmentation across databases to support fundraising, donor stewardship initiatives, and targeted marketing campaigns
- Create and update SOP’s for donor database management tasks
Support Willis Dady’s grant compliance by completing data entry, quarterly and annual reporting, and programmatic dashboard maintenance.
- Accurately enter all households served into ServicePoint (HMIS) and correct any errors following Willis Dady’s internal processes
- Work closely with the Institute for Community Alliances and Willis Dady to become an expert in the timeliness requirements for each local, state, and federal grants
- Manage an efficient and effective process for the collection, cleaning, storage and analysis of both internal and third-party data sets; identify areas where data quality requires improvement and collaborate with team members to resolve issues
- Design, validate, and maintain program dashboards and follow up procedures that report key performance indicators on weekly, monthly, quarterly, and/or annual basis
- Maintain custom reports and dashboards that facilitate the development, monitoring and evaluation of our programs
Other
- Maintain established schedule; inform supervisor and coworkers of absences or tardiness in advance. Any meetings that will be impacted by a change in schedule must be notified and alternative arrangements must be made.
- Attend all staff meetings including a monthly all-staff meeting and community meetings as scheduled and assigned.
- Attend trainings as required and pursue professional and agency development according to agreed-upon goals.
- Communicate all donation and volunteer needs to Community Engagement Manager.
- Adhere to and enforce all agency and program guidelines, policies, and procedure with the ultimate goal of meeting our agency mission, vision, and values.
- Other duties as assigned
