Summary:
Reporting 50% of the time to the Development Operations and Grant Manager and 50% of the time to the CFO, the Development and Finance Assistant is responsible is responsible for gifts processing, acknowledgments, membership fulfillment, donor record care, and event support; as well as the daily cash receipts, accounts payable, and finance office administration.

This position supports the development department’s internal systems, structures, and processes that enable the department to meet and succeed in budget and operational goals and maintain the highest standards of donor satisfaction and overall growth. This position also supports the finance department’s cash receipts, accounts payable, monthly end closes/accruals and audits, and clerical duties.

Finance office hours: Monday – Friday, 9am – 12:45pm
Development office hours: Monday – Friday, 1:15 – 5pm; some evenings and weekends required.


Essential Duties and Responsibilities:

Development

  • Work closely with the Development Operations and Grants Manager and the Development Associate on the processing and documentation of all gifts, including membership payments
  • Ensure the proper implementation of SJMA’s gift entry procedures and preparing the necessary gift documentation for all gifts and membership contributions in Altru made through credit cards, checks, cash, stock transfers, wire transfers, other online portals, and in-kind transactions
  • Process and track matching gift applications
  • Work closely with the Development Operations and Grants Manager to create and send all acknowledgement letters and update letter templates as needed
  • Support and collaborate with team members to prepare and distribute membership and development communications, including year-end appeals, membership renewals, and the membership memo. Membership cards are mailed upon request.
  • Maintain accurate constituent records in Altru (i.e. enter, update, and correct formatting of constituent information, changes of address, salutations, etc.)
  • Maintain and manage physical donor files
  • Generate revenue reports, including the $5k and above report for the Board and total revenue reports that are shared internally on a daily and weekly basis
  • Reconcile daily check reports with revenue documentation
  • Fulfill donated membership requests from non-profit organizations
  • Create name badges for member and patron events
  • Staff membership table at community events throughout the year
  • Provide support day-of support for all development events, including the annual Gala, membership receptions, and C100 Dinner.
  • Participate in member outreach activities, including calling and emailing members to encourage renewing and provide relationship stewardship


Finance

  • Execute accounts payable duties including new vendor set-up, sending invoices for approval, and preparing weekly check runs in Abila.
  • Perform a variety of clerical duties including mailing checks and scanning and uploading invoices in SharePoint.
  • Manage incoming and outgoing mail to ensure timely and accurate distribution.
  • Prepare credit applications when needed.
  • Prepare and issue annual 1099’s.
  • Process cash receipts daily, including weekly bank deposits.
  • Manage credit card accounts.
  • Assist with monthly end closes/accruals and annual audits.
  • Manage petty cash.
  • Reconcile Gala revenue.
  • Monthly revenue reconciliation in Abila and Altru.

Minimum
Qualifications:
  • Basic office administration skills, a minimum of 1 - 2 years of experience in an office setting.
  • Experience with donor or member database, preferred. Blackbaud product (Altru), a plus
  • Excellent organizational and communication skills
  • Excellent customer service skills
  • Demonstrated commitment to accuracy and attention to detail
  • Ability to work in a team environment
