Job Summary:
The Development Specialist is an integral member of the Development & Marketing team, responsible for maintaining the donor database, managing gift acknowledgments and reporting, supporting fundraising initiatives, and providing administrative and engagement support. This role plays a vital part in ensuring donor stewardship, data integrity, and the successful execution of communications and events that advance RMYAs mission.
Must have: Experience working in a donor database; DonorPerfect experience preferred.
This position directly supports RMYAs mission by ensuring donors and volunteers are engaged and recognized, helping to fund critical programs and services for children in crisis.
Primary Responsibilities
CRM/Database Management & Donation Processing
Manage RMYAs donor database to ensure accurate, timely data entry, record maintenance, gift acknowledgment, and reporting.
Oversee gift and in-kind donation processing, including gift acknowledgment, reconciliation with the accounting team, and coordination of distribution to program teams.
Generate and distribute monthly donation reports to track contributions and support fundraising strategy.
Analyze donor data to develop targeted lists, identify trends, and inform fundraising efforts.
Conduct prospect research to identify new funding opportunities, primarily at the individual donor level.
Maintain CRM integrity, clean records, and implement standardized procedures; create and update a CRM manual for staff reference.
Donor Stewardship & Relationship Management
Build and maintain strong relationships with donors, ensuring timely and appropriate recognition and appreciation.
Provide responsive and professional donor service, addressing inquiries via phone, email, and in person as needed.
Draft donor communications, including acknowledgment letters, honoraria/memoriam letters, and other correspondence.
Assist in developing strategies to increase donor retention and engagement.
Administrative & Marketing Support
Support development team operations, including call/email screening, supply purchasing, and event/volunteer logistics.
Assist in the dissemination of development and marketing materials via email and mail by extracting and sorting contact lists from the CRM.
Create, manage, and analyze electronic surveys for donor and volunteer engagement, event sign-ups, and satisfaction feedback using platforms such as Signup Genius, Wufoo, and similar tools.
Update email lists quarterly.
Coordinate in-kind donation logistics, including drop-off, tracking, and distribution; communicate with donors, including individuals, agencies, businesses, corporations, volunteer groups, and church groups.
Assist with planning and execution of engagement events, such as galas, donor receptions, volunteer initiatives, and fundraising campaigns.
Essential Duties

Process monetary gifts and in-kind donations accurately and promptly.
Maintain accurate donor records, mailing lists, and communications schedules.
Partner with accounting monthly for donation reconciliation, vendor payments, and departmental expenses.
Identify opportunities to enhance donor engagement using data-driven insights.
Ensure database integrity, clean records, and implement improved record-keeping protocols.
Other Duties

Assist with operational tasks to ensure efficient departmental functioning.
Attend staff meetings and professional development opportunities.
Support and comply with all RMYA policies and procedures.

Maintain confidentiality of RMYA, client, donor, and volunteer information.
Foster positive relationships with internal and external stakeholders.
Represent RMYA professionally at community and donor events.
Collaborate with program, finance, and volunteer teams to ensure alignment of donor and volunteer initiatives with RMYAs programs and mission.
Key Responsibilities
Enter donations and update donor records in the CRM.
Respond to donor and volunteer inquiries via phone, email, or in person.
Monitor gift and in-kind donation processing.
Screen and triage calls/emails for the development team.
Pull targeted donor and volunteer lists for communications and campaigns.
Track in-kind donations and ensure proper recording and distribution.
Support ongoing event planning and logistics.
Review CRM data for accuracy and correct errors.
Prepare and distribute donation and fundraising reports.
Partner with accounting for donation reconciliation, vendor payments, and departmental expenses.
Clean and maintain CRM records.
Update email and mailing lists.
Review donor engagement metrics and propose improvements.
Assist in planning quarterly development initiatives or events.
Support major fundraising campaigns and events (e.g., galas, donor recognition events).
Conduct end-of-year donor review and prepare reports for leadership.
Review and update standard operating procedures and CRM manual as needed.
Assist with annual donor stewardship activities (acknowledgment letters, honoraria, memoriam letters).
Qualifications
Required
Education: Associates degree in business, marketing, nonprofit management, or related field, or equivalent combination of education and experience.
Experience: Minimum 3 years in donor relations, development, or customer service support.
Licenses: Valid Texas drivers license or ability to obtain one within 30 days.

Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer.
Occasional walking and standing.
Ability to bend, rotate arm and wrist, push, pull, reach, grip, climb stairs, write, and type.
Ability to lift and carry at least 10 pounds.
Driving may be required.
