Summary

We are hiring a Digital Marketing Operations Manager to oversee operations, workflows, resource planning, and team performance for our full-service digital marketing agency. This role manages the day-to-day structure across teams and requires a strong understanding of digital marketing to effectively support and guide the teams executing the work.

Key Responsibilities

1. Operations & Workflow Management

  • Build, refine, and maintain workflows that support smooth team handoffs, proper task assignment, and on-time delivery.
  • Monitor deadlines, deliverables, bottlenecks, and team capacity to ensure balanced resources and early risk mitigation.
  • Maintain SOPs, templates, and documentation, and drive continuous operational improvements.
  • Oversee quality standards to ensure all deliverables are accurate, complete, and consistent.
  • Implement and optimize project management tools, task systems, and operational processes.
  • Coordinate marketing tools and workflow systems, ensuring accurate data, consistent usage, and evaluating new tools and integrations.

2. Cross-Team Coordination & Delivery Oversight

  • Coordinate work across marketing, PM, design, and development-adjacent teams to ensure smooth collaboration and clear handoffs.
  • Maintain project visibility across all accounts to ensure dependencies, communication loops, and timelines remain aligned.
  • Allocate team resources based on capacity and skillset to ensure balanced workloads and efficient delivery.
  • Identify at-risk projects or clients early and intervene as needed.
  • Monitor client hours and time tracking to prevent over-servicing and identify budget risks.

3. Client Alignment, Escalation & Support

  • Ensure client goals and requirements are clearly communicated to the team; join key meetings for clarity and alignment.
  • Provide high-level client oversight, addressing escalations or concerns requiring operational involvement.
  • Identify opportunities for upsells or expanded services based on performance trends and client needs.
  • Support proposal creation from an operational standpoint by validating scope, timelines, and resource needs.
  • Review and approve client invoices by verifying billable hours, project details, quotes, and updates.
  • Assist the CEO with operational or client-related initiatives.

4. Team Leadership & People Development

  • Lead a multi-disciplinary team including Marketing Specialists, Project Managers, and designers.
  • Support teams collaborating with the remote development team (without directly managing developers).
  • Lead recurring 1:1s, coaching, performance discussions, and annual reviews, addressing performance issues when needed.
  • Develop onboarding plans, learning paths, cross-training programs, and career development pathways.
  • Support HR with staffing, forecasting, interviews, onboarding, offboarding, and employee relations.

5. Internal Marketing & Strategic Initiatives

  • Contribute to strategic planning for the marketing department and translate business goals into operational plans and priorities.
  • Provide leadership with insights on performance trends, staffing needs, and operational opportunities.
  • Lead department-wide initiatives to improve efficiency, quality, collaboration, and scalability.
  • Build scalable systems, reporting structures, and workflows that support long-term agency growth.
  • Oversee tracking and analytics for PWI marketing initiatives, ensuring UTMs, conversions, and dashboards are implemented correctly.
  • Monitor internal marketing KPIs and provide leadership with performance insights to support company goals and resource planning.

Requirements

  • Must be willing to work in our office located in Saint Charles, IL.
  • 3+ years of experience in a digital marketing agency
  • 2+ years of project management or operations experience
  • Strong understanding of marketing channels and deliverables (paid ads, email, social, SEO, and web)
  • Excellent organizational, prioritization, and communication skills
  • Ability to work in a fast-paced environment and manage multiple projects
  • High attention to detail and strong follow-through
  • Strong analytical skills and the ability to translate data into actionable insights
  • Proven ability to collaborate across teams and manage client-facing communication
  • Demonstrated leadership, problem-solving abilities, and experience guiding teams through challenges
  • Familiarity with digital marketing tools and platforms (analytics, automation, reporting, task systems)
  • Aligned with PWI values.

Preferred Skills

  • Experience with Google Ads, Meta Ads, and Google Analytics (GA4)
  • Familiarity with social media management (Facebook, Instagram, LinkedIn, Twitter/X)
  • Basic web skills (HTML, CSS, WordPress, landing page builders)
  • Experience using project management platforms (ActiveCollab, Asana, Monday, ClickUp, etc.)
  • Understanding of marketing automation or CRM systems (HubSpot, Mailchimp, ActiveCampaign, etc.)

Pay: $90,000.00 - $120,000.00 per year
