Job Summary:

Key Responsibilities:

- Calendar & Scheduling: Assist with scheduling appointments and managing calendars using Microsoft Office and Google Workspace tools.
- Data Entry & Documentation: Maintain and organize digital and physical files, ensure data accuracy, update databases (such as QuickBooks), and handle various clerical duties.
- Office Management: Perform essential office tasks, including proofreading documents, filing, and organizing records.
- Basic Bookkeeping: Manage invoicing, track expenses, and assist with basic bookkeeping duties using QuickBooks.
- Visitor Coordination: Greet visitors, manage visitor logs, and ensure a welcoming office environment.
- Administrative Support: Assist with general administrative duties, ensuring office operations run smoothly and efficiently.
Qualifications:
- Proven experience in an office setting, with strong organizational skills and a keen eye for detail.
- Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and basic data entry software.
- Experience with multi-line phone systems and managing office tasks such as filing, scheduling, and clerical work.
- Bilingual abilities are a bonus to better serve a diverse client base and support team communication.
- Strong phone etiquette, time management skills, and the ability to prioritize tasks effectively.
- Familiarity with QuickBooks or other bookkeeping software is preferred.
- Prior experience as a personal assistant or in an administrative role is an advantage, though not required.
