Director of Enrollment Systems and Data Analytics - Bellarmine University

Reporting to the Vice President for Enrollment, Marketing and Communication, the Director of Enrollment Systems and Data Analytics is responsible for spearheading the enrollment systems and data analytics enterprise to provide expertise in cross-functional data and information systems in order to deliver actionable analysis that drives the business process of enrollment management. The Director of Enrollment Systems and Data Analytics will develop the strategy to analyze student recruitment activity, financial aid information and enrollment data in support of the university's enrollment processes. The Director identifies opportunities for improvement in business strategies and operations related to enrollment management along with providing recommendations about types of data necessary to make such improvements. The Director will lead staff in the unit and manage the data modeling, forecasts, data, research projects, and policy analysis for the division. This position will work with members the Division of Enrollment, Marketing and Communication to improve and/or automate current processes related to our databases and systems.

Moreover, the Director of Enrollment Systems and Data Analytics will build, support and sustain a culture of strategic analysis and informed decision-making by collecting, analyzing, translating and communicating data from key operational areas of the university, as well as from external sources. The Director provides analytical advice and works in partnership with EMC leaders to drive decision-making in support of institutional priorities, focused on undergraduate enrollment, graduate enrollment and financial aid data analysis and strategies, assessment of student success factors, risk analysis, and financial aid packaging.

Essential Duties

  • Aligns work with the university's strategic enrollment priorities as communicated by the Vice President for Enrollment, Marketing and Communication;
  • Aligns work with the university strategic plan;
  • Provides oversight of the operational, tactical and strategic enrollment systems and data analytics leveraged by the Division of Enrollment, Marketing and Communication;
  • Supervise the daily work of staff members, monitor and evaluate the daily and regular performance and ensure a high quality of work in a supportive environment
  • Possesses knowledge of all facets of applicant data collection, processing, evaluation and reporting activities of a university enrollment management office and its interrelationships with the university at-large, administratively and academically;
  • Create recruitment and retention models broken down by school and college;
  • Provides robust outcomes analysis through both internal and external databases and research studies;
  • Uses strong analytical, problem-solving skills to independently research and conduct applied statistical analysis, while developing and presenting solutions to complex multi-faceted problems and issues in a creative, non-technical manner;
  • Conveys complex ideas to non-technical audiences, using interpersonal and communication skills to deliver information to faculty, staff and university officials in a clear concise manner verbally and written;
  • Works closely with senior Enrollment, Marketing and Communication leadership team to evaluate and document requirements and data definitions, review and track projects, maintain a thorough understanding of systems and data for the division;
  • Supports the reporting needs of the division to ensure access to critical and accurate data is met in a timely manner;
  • Provides analytical assessments of enrollment management practices and promote a data-informed culture throughout the division, training and leading staff to develop analytical skills to enhance decision-making, productivity and efficiency;
  • Empowers staff to continually assess, refine and support strategies, tactics and processes to provide the highest levels of service and ensure the accurate and timely completion of projects;
  • Promotes a service mindset to support the needs of Enrollment Management through effective outreach and communication of available information, as well as through the development of new information;
  • Serves as a project manager for the implementation and use of key systems used by enrollment management, lead system configuration, related processes and data associated with the CRM and ancillary systems and co-leads the administrative program review with the Vice President for Enrollment, Marketing and Communication;
  • Works with other departments and divisions to integrate the CRM with university-wide systems (SIS (Colleague), OnBase, StarRez, Athletics Compliance, etc.) and to meet the intersection of data needs for EMC and other divisions;
  • Provides end-user training for the CRM, manage CRM use and perform other CRM related tasks as required;
  • Works in an agile, collaborative team to estimate production time, prioritize, and rapidly iterate to fulfill user requirements;
  • Engages in and attends professional development conferences and seminars to keep apprised of best practices and emerging trends;
  • Produces creative solutions within constraints to solve business needs and execute them effectively with little supervision.

Secondary Responsibilities:

  • Performs other duties as assigned by the Vice President for Enrollment, Marketing and Communication;
  • Possesses ability to establish and maintain effective and cooperative working relationships with a wide variety of individuals;
  • Uses a high level of insight regarding the complex relationships and inter-dependencies of campus and system wide entities;
  • Identifies business processes that could be automated through enhancements to current systems as well as developing those enhancements; this also includes identifying aspects of current processes that could be made more efficient and making recommendations on how to best implement the changes;
  • Analyzes and documents operational requirements for the CRM system;
  • Maintains system security, user permissions and access;
  • Communicates with users to create mockups, define system requirements, and demo newly built features, prepare documentation and test in a pragmatic manner.

Duties:

  • 40% Spearhead the development, execution and evaluation of strategic processes and policies for managing enrollment systems and data collection, integrity, and analytics
  • 20% Identify, implement and assess best-in-class analytical and predictive modeling tools, applications and processes via collaboration and planning
  • 15% Evaluate and improve operational processing and procedures
  • 10% Coordinate training and development of team members in relation to systems and data analysis
  • 10% Interdepartmental relations
  • 5% Other duties as assigned

Job Requirements:


Required Qualifications:

  • Bachelor's degree in Data Analytics, Statistics, Computer Science, Informatics, or a related field;
  • Four or more years of related experience;
  • Two or more years of supervisory experience;
  • Ability to utilize advanced level statistical knowledge, software, methodologies and theory in order to analyze complex and diverse data to aid in strategic planning and dissemination of information;
  • Ability to operate with a high level of autonomy, frequently exercising independent judgement to perform assigned duties and solve problems, but awareness of when other team members need to be consulted;
  • Excellent interpersonal skills with the ability to train team members;
  • Strong attention to detail and the ability to manage multiple projects and meet tight deadlines;
  • Ability to maintain confidentiality;
  • Experience in Enrollment Management research, modeling and analysis;
  • Demonstrated excellence in oral and written communication abilities;
  • Demonstrated outstanding interpersonal and leadership skills; and,
  • Knowledge of and commitment to the mission of Bellarmine University;
  • Demonstrated experience with Slate CRM and Colleague SIS.

Preferred Qualifications:

  • Master's degree;
  • Experience working in a higher education setting;
  • Four or more years of supervisory experience.

Physical Requirements and/or Unusual Work Hours

  • This position may require periodic scheduled and unplanned hours on evenings and weekends;
  • Must be able to make decisions and respond to challenges quickly and with ease.
