POSITION TITLE: Director of Enterprise Content Management
PAY SCHEDULE / GRADE: Exempt/406
PRIMARY PURPOSE:
Plan, architect, configure, and manage all activities related to the District’s enterprise content management (ECM) system(s). Optimize operational efficiencies by improving document processes and timely access to critical documents throughout the enterprise. Develop and maintain procedures, tools, and documents to ensure effective support of critical business processes.
QUALIFICATIONS:
Education/Certification:
Bachelor’s degree in Computer Science, Information Systems, or related field or equivalent experience in complex enterprise environments preferred.
Special Knowledge/Skills:
Knowledge of hardware and system software applications including application development frameworks, programming/scripting languages, and web technologies.
Knowledge of database and enterprise reporting systems.
Strong knowledge of system testing and software quality assurance best practices and methodologies.
Experience with SQL, Javascript, HTML, XML, ERP, ECM, BI.
Experience managing and supporting enterprise content management systems (Laserfiche is preferred).
Experience transforming business requirements into enterprise content management solutions.
Experience creating and troubleshooting forms, workflows, and automated business processes, including conversions, interfaces, reports and customizations.
Working knowledge of business processes and application dependencies.
Experience with integrating data from multiple enterprise systems.
Experience with automated software management tools.
Experience with Microsoft Office 365 and Google Apps for Education.
Ability to work with multiple operating systems and network protocols (i.e. Windows, Mac OS, iOS, Linux).
Strong organizational skills and ability to multi-task with minimal supervision.
Excellent time management skills; ability to effectively prioritize multiple requests and execute tasks.
Ability to innovate, analyze, and collaboratively resolve complex problems.

EXPERIENCE:
Three or more years of experience in informational technology services and document management systems is preferred.
MAJOR DUTIES AND RESPONSIBILITIES:
Enterprise Content Management Support:
Plan, coordinate, manage, and support the enterprise content management system(s) through process discovery, analysis, design, software installation, configuration, and training.
Create cost savings through the reduction in paper usage, printing, processing time, physical storage, retrieval and document duplication.
Ensure the enterprise content management system(s) complies with all state and federal regulations regarding document retention.
Translate high-level business processes and requirements into detailed project plans.
Design efficient electronic solutions utilizing electronic forms, workflows, and integrations with other systems to improve business processes.
Administer core ECM functionality for users, groups, security, audit trails, document lifecycle, image capture methodologies, and system integrations.
Ensure new software integration into the District systems meet functional requirements, system compliance, and security policies in accordance with District standards.
Analyze documentation and technical specifications of any new application under deployment or consideration to determine its intended functionality.
Gauge the effectiveness and efficiency of existing systems and processes; develop and implement strategies for improving or further leveraging of these systems.
Perform system administrative functions such as monitoring, backup, restore, and verify the integrity, availability, and performance of server resources, systems, and applications.
Serve as liaison to vendors to maintain appropriate product support and to resolve any issues that occur.
Provide assistance to all staff to identify and resolve software related problems and answers to technology related questions.
Perform periodic internal audits to ensure data accuracy and identify data discrepancies.
Data Security:
Maintain and evaluate district-wide security for the enterprise content management system and any integrated system.
Perform district security audits and make recommendations for improvement. Monitor activity reports, take actions of intrusion, and act on findings.
Identify, curtail and prevent possible infractions of the district's Responsible Use for Technology Resources policy.
Assist with development, implementation and maintenance of a disaster recovery plan as required.
Administrative Functions:
Develop training guides and provide technical training sessions as required.
Assist with the selection and purchase of software applications.
Manage assigned projects and programs to deliver services in accordance with established objectives and timelines.
Organization Improvement:
Identify and recommend the acquisition of new services, software and hardware to meet the needs of the District.
Attend all technology related meetings as designated by the Executive Director of Technology.
Promote departmental culture of customer service through frequent communication, positive relationships and prompt support.
Research and recommend innovative, automated approaches for system administration tasks.
Records and Reports:
Maintain accurate records in accordance with Coppell ISD and the Texas State Library and Archives Commission.
Collect report requirements, design layout, and develop reports as needed.
Create, analyze, and optimize SQL queries as needed.
Develop and maintain system design and configuration documentation including test plans and results.
Maintain accurate documentation, diagrams and reports of district systems.
Participate in assignment, priority and record keeping of technology-related work orders.
Compile, maintain, and electronically file all physical and digital reports, records, and other documents as required.
Comply with policies established by federal and state law, the State Board of Education, and the local board policy.
Classroom Management and Organization:
Maintain data and systems to facilitate classroom management district-wide.
Communication:
Monitor technical research and disseminate ideas and information to other professionals as outlined in the strategic plan.
Demonstrate skill in conflict resolution with administrators, parents and educators

WORKING_CONDITIONS:
The majority of the job responsibilities for this position will occur within an indoor office and/or campus environment.
The employee will occasionally be required to engage in labor in buildings without air conditioning.
The employee must be willing to work in alternative locations and environments as needed.

Repetitive hand motions and prolonged use of computers; lifting and moving of heavy equipment; stooping, bending, and kneeling.
