The Director of Executive Office Operations serves as a trusted extension of the President, ensuring the effective coordination, communication, and execution of Presidential priorities across the College.
This role operates with a high degree of autonomy, discretion, and judgment. The Director is responsible for anticipating needs, proactively solving problems, and managing the flow of information, decisions, and commitments within and beyond the President’s office.
Success in this role requires a forward-thinking, highly perceptive individual who can read situations, ask the right questions when needed, and navigate complex and sensitive matters independently. This position is best suited for someone who thrives in a high-expectation environment where excellence, initiative, and accountability are assumed, and feedback may be direct and results-focused.
Executive Operations & Presidential Support
- Manage and optimize the President’s calendar, priorities, and time to align with institutional goals
- Ensure the President is fully prepared for meetings, events, and engagements through proactive briefing materials and coordination
- Oversee daily operations of the President’s office, ensuring efficiency, responsiveness, and professionalism
- Handle sensitive and confidential matters with the highest level of discretion
Presidential Representation & Communication
- Acts on behalf of the President in designated operational, administrative, and communication matters, ensuring consistency with established priorities and leadership direction
- Serves as a central coordination point for the President’s office, facilitating communication and access while reinforcing institutional priorities and leadership direction
- Communicates directly with Board members, senior leadership, external partners, and community stakeholders on behalf of the President
- Drafts, edits, and manages high-level correspondence, communications, and briefing materials
Cabinet Coordination & Institutional Priorities
- Coordinate the planning, agenda development, and follow-up for Cabinet and executive-level meetings
- Track key decisions, action items, and deliverables to ensure timely execution of Presidential and institutional priorities
- Prepare concise status reports and briefing updates for the President
- Facilitate cross-functional coordination on initiatives that require executive-level visibility and alignment
Project & Initiative Management
- Manage and oversee projects and special initiatives on behalf of the President, from concept through completion
- Identify risks, remove obstacles, and ensure momentum on priority initiatives
- Maintain centralized tracking of key projects and proactively escalate issues as needed
Community Engagement & Events
- Plan and execute events hosted by or involving the President’s office
- Serve as a primary point of contact for external stakeholders in support of Presidential outreach efforts
- Represent the President’s office at events and engagements as appropriate
Office Leadership & Governance Support
- Establish and maintain systems, processes, and standards that support a highly effective executive office
- Support Board of Trustees operations, including meeting coordination and materials preparation
- Coordinate responses to external inquiries, audits, and requests as directed
Institutional Awareness & Issue Management
- Maintains awareness of emerging issues and dynamics across the institution, elevating insights to the President as appropriate
- Researches, prioritizes, and responds to inquiries and concerns directed to the President
Measures of Success
- The President’s time is optimized and aligned with the highest institutional priorities
- Issues are anticipated and addressed proactively with minimal escalation
- Cabinet initiatives move forward with clarity, accountability, and momentum
- Internal and external stakeholders experience consistent, professional, and aligned communication representative of the President’s priorities, expectations, and communication style.
- The President’s office operates as a highly efficient, responsive, and trusted hub of the institution
Qualifications & Core Competencies
- Bachelor’s degree required; advanced degree preferred
- 5–7 years of executive-level administrative or operational experience
- Exceptional organizational, communication, and interpersonal skills
- Demonstrated ability to anticipate needs and operate with limited direction
- Strong problem-solving and decision-making capability
- High level of discretion, professionalism, and emotional intelligence
- Ability to thrive in a high-accountability, fast-paced environment
