Position Summary
The Director of Finance & Administration is responsible for the financial management, accounting operations, and human resources administration of Friends of Warner Parks. Reporting to the President, this role ensures accurate financial reporting, strong internal controls, and effective administrative systems that support the organization’s mission and operations.
This position manages the organization’s day-to-day accounting functions, including accounts payable, accounts receivable, payroll processing, and account reconciliations, while leading financial reporting, budgeting, the annual audit process, and compliance with nonprofit regulatory requirements. The Director of Finance & Administration works closely with the President, Treasurer, Finance Committee, and the Development team to support responsible stewardship of organizational resources and maintain the organization’s financial integrity.
This is a hands-on operational role that combines financial management, accounting, HR administration, and organizational compliance.
Key Responsibilities
Financial Management & Reporting
- Assist the President with development of the organization’s annual operating budget.
- Monitor financial performance and provide financial analysis and forecasting.
- Prepare monthly financial reports for the President and Treasurer.
- Prepare quarterly financial reports for the Finance Committee and Board of Directors.
- Support leadership and the Board in understanding financial performance and trends.
Accounting Operations
- Perform and manage day-to-day accounting functions including accounts payable, accounts receivable, and monthly account reconciliations.
- Maintain the organization’s accounting system (currently QuickBooks Online).
- Ensure accurate financial records in accordance with nonprofit accounting standards.
- Maintain and document internal financial controls and accounting procedures.
- Prepare financial information for the organization’s annual IRS Form 990 in coordination with external accountants.
Audit, Compliance & Regulatory Reporting
- Lead annual audit process, including preparation of audit schedules, serving as primary liaison to external auditors, and presenting audit results to President and Board of Directors.
- Prepare and submit required tax filings including Sales & Use Tax and Franchise & Excise Tax.
- Prepare and submit required annual filings with the State of Tennessee including the Charitable Solicitations filing and Annual Report.
- Coordinate annual financial reporting required by Metro Nashville Parks & Recreation.
- Maintain and update the organization’s financial and organizational information in the Community Foundation of Middle Tennessee Giving Matters database.
- Ensure ongoing compliance with nonprofit financial regulations and reporting requirements.
Payroll, Benefits & Human Resources Administration
- Oversee processing of bi-weekly payroll for full-time, part-time, and seasonal staff (currently through Gusto).
- Manage administration of employee benefits including medical, dental, life insurance, and retirement plans.
- Maintain employee records and ensure HR compliance with applicable employment regulations.
- Support employee onboarding and offboarding processes.
- Assist with development and implementation of HR policies and procedures.
Development & Donor Financial Coordination
- Work with the Director of Development to ensure accurate reconciliation of donations between the donor database and accounting records.
- Support the donor acknowledgement process by providing accurate gift information and assisting with letters.
- Provide financial reporting related to fundraising activity and events.
- Assist with preparation of grant budgets and financial reports as needed.
Organizational Support & Events
- Provide financial and administrative support for organizational initiatives and programs as needed.
- Participate in and support Friends of Warner Parks fundraising events, including occasional evening or weekend work.
- Assist with financial tracking and reconciliation of event revenue and expenses.
- Contribute to a collaborative team environment in support of the organization’s mission.
Qualifications
- Bachelor’s degree in accounting, finance, business administration, or related field.
- 5–8 years of accounting or financial management experience, preferably in the nonprofit sector.
- Strong understanding of nonprofit accounting practices and financial reporting.
- Experience with accounting software (QuickBooks or similar), payroll platforms, and database systems.
- Strong organizational, analytical, and communication skills.
- Ability to work collaboratively with staff, leadership, and board members.
- Commitment to the mission of Friends of Warner Parks.
- CPA or nonprofit accounting experience preferred.
