Hoboken Family Planning is a 501C (3) non-profit organization located at 124 Grand Street in Hoboken NJ 07030. We have been providing high quality family planning services from this location for 48 years, and cancer screening services for last 20 years. We generally provide our services to the most vulnerable people in our community, the poor and the uninsured, but all are welcome. Our services help people to manage their reproductive health, diagnose and treat sexually transmitted diseases (STDs), find chronic diseases and refer them for treatment and discover cancers at early and treatable stages. Family planning and STD services are provided at discounted fees, or at no charge, based on the patient’s income. No one is denied services because of an inability to pay. Cancer screening services are provided free of charge for those who qualify for them based on being uninsured, under insured and having a household income less than 251% of the federal definition of poverty.

PRIMARY FUNCTIONS: Working under the direct supervision of the Executive Director, the Director of Finance/Associate Director oversees all fiscal operations of Hoboken Family Planning, Inc., assuring alignment with the organization’s strategic goals and compliance with its financial requirements.

DUTIES/ RESPONSIBILITIES: (considered to be the essential functions of the job):

Oversee the financial activities of Hoboken Family Planning, which has an annual budget of $3.4 million, approximately, including accounting, budgeting, forecasting, cash flow management, financial reporting, preparation of cost reports, billings and collections

Supervises Accounting Department functions including Accounts Receivable, Accounts Payable, General Accounting, Purchasing, and Payroll

  • Ensures compliance with generally accepted accounting procedures and regulatory financial requirements (e.g., HRSA requirements that apply to a Title X Sub recipient agency), and local and state government cancer screening grant requirements
  • Develops and upholds effective internal controls to safeguard assets and reliability of financial statements
  • Develops and reviews the organization’s financial policies and procedures, assures their implementation and recommends updates

Prepares and supervises the preparation of financial information required by the annual financial audit, the IRS form 990 and other financial regulatory reports as required

  • Oversees efforts to maximize first and third-party reimbursement in collaboration with the Manager of Data Services
  • Assists Executive Director in the Management of third-party insurance payer contracts
  • Attends Board of Directors and Finance Committee meetings and develops and presents monthly, quarterly and annual analyses and reports for the Board and the Finance Committee
  • Presents finance reports to all staff during all-staff meetings
  • Develops organization-wide, grant, and department budgets, monitors adherence to these budgets and provides analysis and feedback to management regarding actual compared to budgeted performance
  • Oversee corporate tax filings, audits, and reports and ensure the timely submission of all filings
  • Maintains banking, audit firm and related third-party relationships
  • Evaluates and oversees all organizational insurance policies, and ensures the ongoing maintenance of all policies including general liability, property, malpractice and Directors and Officers
  • Participates in Executive Leadership Team meetings and activities and works with other departments to achieve financial goals
  • Leads the evaluation and selection of organizational benefit plans
  • Conducts financial analysis and assists with financial planning to identify opportunities for improving financial performance
  • Participates in and contributes to finance and agency-wide strategic planning
  • Represents the agency as a senior leader at external meetings
  • Performing other duties as assigned by the Executive Director

QUALIFICATION/EDUCATION and/or EXPERIENCE REQUIREMENTS: 

Degree in business administration/management, accounting, or finance,

  • 5 years+ of recent accounting work experience, including general ledger, payroll, accounts payable, accounts receivable and cash reconciliation, preferably in healthcare settings
  • 5 years+ people management experience
  • Non-profit accounting experience preferred
  • Knowledge of QuickBooks Accounting System required
  • Expert experience using Microsoft suite: Outlook, Excel, Power Point & Microsoft Word
  • Excellent written and verbal communication skills
  • Social media platform experience preferred
  • Culturally responsive to diverse communities

Pay: $160,000.00 - $180,000.00 per year
