Position Summary

The Director of Inventory Operations is responsible for leading all inventory management, inventory control systems, and inventory compliance functions across Global Empowerment Mission (GEM). This executive-level position ensures the accuracy, accountability, security, and efficient movement of all donated and purchased goods throughout GEM's domestic and international operations.

Working closely with Warehouse, Finance, Logistics, Procurement, Development, Programs, Compliance, and International Operations, the Director of Inventory Operations establishes and maintains best-in-class inventory management practices while ensuring compliance with donor requirements, financial reporting standards, and organizational policies.

The Director will oversee, inventory personnel, inventory management systems, physical inventory controls, Fair Market Value (FMV) documentation, inventory reconciliation, and operational reporting while driving continuous process improvements throughout the organization.

Key Responsibilities

Strategic Leadership

  • Develop and execute GEM's inventory management strategy.
  • Establish inventory policies, procedures, and operational standards.
  • Lead continuous improvement initiatives across all inventory operations.
  • Develop long-term inventory capacity planning.
  • Support organizational growth through scalable inventory systems.
  • Serve as the inventory subject matter expert for leadership.

Inventory Management

  • Maintain accurate inventory records across all GEM facilities.
  • Ensure inventory accuracy through cycle counts and annual physical inventories.
  • Monitor inventory movement from receipt through final distribution.
  • Maintain complete chain-of-custody documentation.
  • Oversee inventory adjustments and approvals.
  • Investigate inventory discrepancies and implement corrective actions.
  • Manage inventory aging and product expiration programs.
  • Develop inventory performance metrics and dashboards.

Warehouse Operations

  • Direct all inventory personnel.
  • Establish inventory standards.
  • Optimize warehouse layout and storage utilization.
  • Monitor receiving, storage, picking, packing, staging, and shipping.
  • Ensure safe handling of donated products.
  • Coordinate inventory staffing requirements.
  • Support disaster response surge operations.

Inventory Management System

  • Serve as executive owner of GEM's Inventory Management System.
  • Ensure accurate inventory transactions.
  • Develop inventory reporting capabilities.
  • Manage user permissions and system controls.
  • Coordinate future system enhancements.
  • Ensure proper inventory tracking and audit trails.

Finance Partnership

Work closely with the Finance Department to:

  • Reconcile inventory balances.
  • Maintain accurate inventory valuation.
  • Support monthly and annual financial close.
  • Ensure proper Fair Market Value (FMV) documentation.
  • Assist with financial reporting.
  • Support annual audits.
  • Improve internal financial controls.
  • Develop inventory reporting for leadership.

Compliance & Audit

  • Ensure compliance with donor requirements.
  • Maintain audit-ready inventory documentation.
  • Develop inventory internal controls.
  • Ensure proper documentation of inventory movements.
  • Support internal and external audits.
  • Maintain compliance with nonprofit accounting standards.
  • Ensure adherence to organizational policies and SOPs.

Fair Market Value (FMV)

  • Oversee GEM's FMV process.
  • Ensure documentation supports all inventory valuations.
  • Review pricing methodologies.
  • Maintain required supporting documentation.
  • Coordinate with Finance on valuation standards.
  • Ensure donor compliance requirements are met.

Reporting & Analytics

Develop executive dashboards and reports including:

  • Inventory valuation
  • Inventory accuracy
  • Inventory turnover
  • Receiving performance
  • Inventory losses
  • Product aging
  • Donation utilization
  • Operational KPIs

Cross-Department Collaboration

Partner with:

  • Finance
  • Warehouse
  • Procurement
  • Development
  • Programs
  • Compliance
  • International Operations
  • Disaster Response Teams

to ensure efficient inventory planning and operational success.

Leadership & Staff Development

  • Recruit, train, and mentor inventory personnel.
  • Establish performance expectations.
  • Conduct performance evaluations.
  • Promote professional development.
  • Foster a culture of accountability, teamwork, and continuous improvement.

Qualifications

Required

  • Bachelor's degree in Supply Chain Management, Logistics, Operations Management, Business Administration, or related field.
  • 10+ years of progressive experience in inventory management, warehouse operations, or supply chain leadership.
  • 5+ years leading teams in a management or director-level role.
  • Experience managing large-scale inventory operations valued in the millions of dollars.
  • Strong knowledge of Warehouse Management Systems (WMS).
  • Experience with inventory controls and reconciliation.
  • Strong analytical and financial acumen.
  • Advanced Microsoft Excel proficiency.
  • Excellent leadership, communication, and organizational skills.
  • Ability to travel domestically and internationally as needed.

Preferred

  • Master's degree in Business Administration, Supply Chain, or Operations Management.
  • Experience in nonprofit, humanitarian, disaster relief, or international logistics.
  • Experience with inventory valuation and Fair Market Value documentation.
  • Knowledge of nonprofit accounting principles.
  • Multi-site warehouse management experience.
  • Experience with ERP systems.
  • Lean, Six Sigma, or APICS certification.
  • Forklift certification (preferred but not required).

Physical Requirements

  • Ability to work in warehouse and office environments.
  • Ability to lift up to 30 pounds occasionally.
  • Ability to stand and walk for extended periods during warehouse visits.
  • Ability to travel domestically and internationally.
  • Ability to operate warehouse equipment after appropriate training.

Pay: $115,000.00 - $135,000.00 per year
