Director of Maintenance – Summary Overview

Purpose of the Position:

The Director of Maintenance is responsible for planning, organizing, developing, and directing all functions of the Maintenance Department in accordance with federal, state, and local regulations. The primary goal is to ensure the facility is maintained in a safe, functional, and comfortable manner for residents, staff, and visitors.

Delegation of Authority:

The Director of Maintenance is granted full administrative authority, responsibility, and accountability to manage all maintenance operations and personnel. This includes oversight of safety and fire prevention programs, equipment, staffing, and compliance with regulatory standards.

Key Job Functions & Responsibilities

1. Administrative Functions

  • Develop and oversee all maintenance policies, procedures, and programs.

  • Ensure compliance with ADA, OSHA, and applicable laws.

  • Conduct annual reviews of department policies and recommend updates.

  • Maintain accurate records, reports, job descriptions, and evaluations.

  • Implement a preventive maintenance program.

  • Report all incidents/accidents within 24 hours.

  • Assist in infection control evaluations related to maintenance tasks.

  • Supervise outside services/vendors and ensure contractual obligations are met.

2. Committee Functions

  • Actively participate in or lead facility committees such as:

    • Infection Control

    • Safety

    • Quality Assurance (QA)

    • Quality Assurance & Performance Improvement (QAPI)

  • Report on maintenance-related activities and participate in QAPI initiatives.

  • Implement recommendations and improvements from committee findings.

3. Personnel Management

  • Determine appropriate staffing levels and scheduling.

  • Recruit, hire, train, evaluate, and discipline maintenance personnel.

  • Conduct annual performance evaluations and competencies.

  • Ensure all staff adhere to facility policies and safety procedures.

  • Monitor staff performance and maintain adequate staffing coverage.

  • Maintain positive interdepartmental relationships.

4. Leadership and Supervision

  • Conduct regular department meetings and staff check-ins.

  • Make daily facility rounds to ensure high-quality maintenance standards.

  • Maintain a professional and welcoming atmosphere throughout the facility.

  • Serve as a liaison between the maintenance team and other departments.

  • Delegate responsibilities to qualified personnel in your absence.

Additional Expectations:

  • Respond to survey inspections and develop plans of correction.

  • Ensure supply rooms and utility areas are clean, safe, and well-stocked.

  • Maintain compliance with economic conditions and adjust services as needed.

  • Promote a clean, hazard-free environment that supports resident care and staff performance.

Experience Requirements

To qualify for the position of Director of Maintenance, the candidate must meet the following experience and knowledge requirements:

Minimum Experience:

  • At least 3 years of experience in a supervisory role within a maintenance or plant operations environment.

Technical Knowledge:

  • Proficient in the operation and maintenance of:

    • Boilers

    • Compressors

    • Generators

    • Mechanical, electrical, and plumbing systems (MEP)

  • Ability to read and interpret blueprints and technical schematics.

Regulatory and Safety Knowledge:

  • Familiarity with building codes and local, state, and federal safety regulations.

  • Must be knowledgeable in NFPA (National Fire Protection Association) codes as they apply to healthcare facilities.
