About us: Natrona Collective Health Trust (the Trust) is a private foundation located in Casper, WY, that provides support for Natrona County nonprofits and the community. Our mission is to build the foundation for lifelong health among Natrona County residents by advancing the mental wellbeing of young people through trust-based philanthropy and systems change.

Compensation: This is a full-time exempt position starting at $80-95,000/year. Trust employees are eligible for a full suite of benefits upon hire, including unlimited PTO; health, dental, vision, life, and disability insurance; employer funded HSA; 401K; and parental leave.

The Trust’s Director of Operations provides an array of services to the Trust. This role directs the day-to-day operations of the Trust, including facility management, communications, and Collective Space event management. The Director of Operations ensures timely and effective completion of all projects as detailed below. This position reports to the Chief Finance and Operating Officer (CFOO).

Education & Experience

  • Bachelor’s degree or equivalent experience in public or business administration, nonprofit management, communications, or similar fields.
  • At least 3 years of experience is preferred.
  • Excellent attention to detail, accuracy, problem-solving skills, organizational and computer skills, as well as the ability to exercise professional discretion and discernment, independent judgment and business acumen is required.
  • Ability to work effectively within a small team, being both a collaborative team player and a self-motivated initiator.
  • Demonstrated high level of diplomacy, sound judgment, and discretion when working with contractors, vendors, partners, and stakeholders.
  • Ability to organize and prioritize work and meet deadlines.
  • High proficiency in Microsoft Office, Excel, Word, PowerPoint, and Outlook required. Familiarity with WordPress, social media platforms, and web-based outreach services such as Mailchimp and Buffer preferred.
  • Strong interpersonal, written and verbal communication skills.

Essential Duties and Responsibilities:

Operations

  • Collaborate with executive leadership on organizational long term strategy planning and implementation.
  • Collaborate with the CEO and CFOO to recommend, implement and monitor operations-related policies, procedures, and processes, ensuring compliance with relevant legal parameters.
  • Maintain in-house employee records and compliance materials.
  • Develop operational processes and systems to improve efficiency within the Trust
  • Coordinate operational support for the planning and execution of Trust initiatives across all departments.
  • Manage relevant vendor contracts and relationships.
  • Liaise with contracted IT provider and technical support vendors regarding software systems and office equipment.
  • Responsible for daily office facility needs including facility contract management, utilities, repair facilitation, access, and other items as needed.

Board relations

  • Serve as the primary staff liaison to the Nominating and Governance Committee of the board including planning meetings and agendas, supporting the chair to be a successful leader of the committee, and implementing recommendations approved by the committee and board.

Communications

  • Lead the development of external communications across digital and traditional formats in coordination with the CEO, ensuring alignment with the mission and strategies of the Trust.
  • Coordinate projects with contracted marketing services.
  • Create content for the Trust’s website, social media, newsletters, brochures, and other communication materials, ensuring alignment with the Trust’s mission and strategies.
  • Track outcome-related metrics for communications activities.

Human Resources

  • In coordination with executive leadership, manage the hiring and onboarding processes for new employees.
  • Work with the CFOO and Office Manager in processing biweekly payroll and management of the payroll management system.
  • Assist the CEO and CFOO in coordinating and managing the retained HR services.

Events Management

  • Plan and execute events that operationalize the mission of the Trust in the use and management of The Collective Space.
  • In coordination with relevant Trust staff, manage aspects of event logistics, including budgeting, facilities, programming, vendor negotiations, and on-site project management.
  • Conduct post-event analyses to evaluate success and areas for improvement.

Organizational Duties

  • Participate in regular team, staff, board, and committee meetings
  • Participate in internal mission-aligned discussions and activities
  • Take ownership of professional learning opportunities offered by the organization
  • Perform other duties as assigned
