We are seeking a highly organized and detail-oriented Dispatch Administrator to support our logistics operations across flatbed, forklift, and bulk services. This role is critical in ensuring smooth dispatching, maintaining customer schedules, and supporting both operations and customer service teams. The ideal candidate thrives in a fast-paced environment and excels at communication, coordination, and multitasking.
Key Duties & ResponsibilitiesCustomer & Dispatch Management
- Set up new customers for Flatbed, Forklift, and Bulk operations
- Build and manage dispatches across multiple service lines
- Upload and maintain broker packets as needed
Customer Schedule Maintenance
- Maintain and update customer shipment schedules to ensure accuracy and timeliness
Documentation, Compliance & Reporting
- Serve as backup for Driver Manager customs clearance processes for Canadian shipments (both northbound and southbound)
- Obtain and process trip permits
- Process completed dispatches in customer-specific software to prepare loads for invoicing
Operational & Administrative Support
- Provide backup support for Customer Service Representatives, including:
- Coverage during absences
- Assisting communication between Driver Managers and customers
- Responding promptly to customer emails and phone calls
- Coordinate time off and work schedules with Customer Service Representatives
- Maintain strong communication and workflow between dispatch and customer service teams
QualificationsCore Skills
- Strong organizational and multitasking abilities
- Ability to work effectively in a fast-paced logistics environment
- High attention to detail and accuracy in documentation
- Experience with dispatch software or a Transportation Management System (TMS) preferred
Technical & Industry Skills
- Proficiency in Microsoft Office (Excel, Outlook, Word)
- Ability to quickly learn and navigate customer-specific software platforms
Communication & Interpersonal Skills
- Strong written and verbal communication skills
- Ability to collaborate with Driver Managers, Customer Service Representatives, drivers, and customers
- Professional, calm communication style—especially under pressure
