Dispatch Coordinator & Charter Sales

Description:

Role Overview

  • Acts as the bridge between charter sales, operations, and flight crews
  • Owns the charter lifecycle from inquiry through execution
  • Supports revenue generation while ensuring safe and compliant operations

Dispatch Responsibilities

  • Respond to inbound charter inquiries and generate quotes
  • Coordinate trip logistics including:
  • routing, fuel, handling, and catering
  • Special Mission coordination
  • Will be trained if not familiar in HAZMAT acceptance
  • Will be trainied on company specific Emergency Procedures
  • International Flight Planning skills to include
  • Foreign Permits
  • Routing for Nav performance matched to aircraft
  • Understanding of ICAO rules
  • Weight and Balance and load manifests for passenger and cargo operations
  • Fuel releases and cost control
  • eAPIS
  • Overfly permits
  • In-flight communications with aircraft and crew
  • Ensure compliance with FAA Part 135 requirements, such as:
  • Flight and duty time limits
  • Filling of Flight Logs and Weight and Balance forms
  • Legal airport alternates
  • Monitor flights and adjust logistics in real time
  • Maintain high-net-worth client communications and service

Sales Responsibilities

  • Convert quotes into booked revenue
  • Manage quoting pipeline and follow-up conversations with clients
  • Identify and sell empty leg opportunities
Requirements:

Qualifications

  • Completion of Dispatcher School, or;
  • Comparable experience to include 2–5+ years in Part 135 operations & charter sales
  • Strong understanding of aircraft operations and trip planning
  • Familiarity with Avinode, NBAA Air Mail, Avionis, or similar tools preferred
  • Dispatchers License preferred

  • Quote-to-book conversion rate
  • Revenue per trip

  • Response time to inquiries
