Education: Graduate / Diploma / 12th pass (preferred)

Experience : 2–5 years in dispatch/logistics (manufacturing preferred).

Position Title: Dispatch Executive / Dispatch In-Charge (Sheet Metal Industry)

Department: Stores / Logistics / Supply Chain.

Reporting To :Stores Manager / Production Manager / Plant Head

Location: Chakan, Pune

Job Description:

The Dispatch Executive is responsible for timely, accurate, and safe dispatch of finished goods and job-work materials in a sheet metal manufacturing environment. The role ensures adherence to dispatch schedules, coordination with production, QA, transporters, and sub-vendors, and maintenance of all dispatch-related records, including in-time/out-time tracking.Working Hours & Attendance Responsibility Ensure self in-time and out-time discipline as per company policy. Maintain daily in-time/out-time register for: Dispatch staff Transporters/drivers Loading/unloading laborMonitor vehicle reporting time, loading start time, loading completion time, and exit time. Ensure no unauthorized vehicle entry or exit. Coordinate overtime dispatches with management approval.

Key Responsibilities

1. Dispatch Planning & Execution

•Execute dispatches as per dispatch plan, delivery schedule, and customer priority.

.•Ensure correct part number, description, quantity, batch/lot number, and packaging.

.•Coordinate with production and QA for release of finished goods.•Ensure FIFO / customer-specific dispatch norms are followed.

.•Handle urgent and break-down dispatches responsibly.

2. Documentation & Compliance

.Prepare and verify all dispatch documents, including:

•Delivery Challan (DC)

•Invoice / E-way Bill

•Packing List

•Job-work Challan (sending/receiving)

•Gate Pass

•Ensure documentation accuracy before vehicle exit

.•Maintain dispatch registers and ERP

.•Ensure statutory compliance related to GST, E-way bills, and transport norms.

3. In-Time / Out-Time & Gate Control

•Record and monitor:

•Vehicle in-time•Loading start and end time

•Vehicle out-time•Ensure loading/unloading efficiency and reduce waiting time.

•Coordinate with security/gate staff for controlled movement

.•Investigate and report abnormal delays.

4. Follow-up with Sub-Vendors (Job Work)

•Coordinate dispatch of material to sub-vendors for operations such as:

•Bending

•Welding

•Powder coating / plating

•Laser cutting / fabrication

•Ensure material sent matches job-work challan details.

•Track material movement and turnaround time (TAT).

•Regular follow-up with sub-vendors for:

•Pending material

•Delivery commitments

•Rejections or damages

•Coordinate inward receipt of job-work material with stores & QA.

  • Maintain job-work pending status report.

5. Coordination with Transporters

•Arrange vehicles as per dispatch plan (LCV, tempo, truck, container).

•Negotiate and confirm transport availability and timelines.

•Ensure proper vehicle condition and driver details.

•Track dispatched vehicles until delivery confirmation.

•Resolve transporter-related issues (delay, damage, shortage).

6. Packaging & Material Safety

•Ensure proper packing method as per part requirement:

•Pallets, bins, corrugated boxes, bubble wrap

•Ensure labelling with part details and customer information.

•Prevent transit damage, rusting, bending, or scratching.

•Coordinate with QA for packing approval where required.

7. Inventory & Traceability Support

•Ensure dispatched quantity matches FG stock records.

•Update dispatch data in ERP/system immediately.

•Maintain traceability of dispatched lots/batches.

•Support stock reconciliation and audits.

8. Quality, Safety & Discipline

•Ensure dispatches meet quality clearance norms.

•Follow safety guidelines during loading/unloading.

•Prevent material mix-up, shortage, or wrong dispatch.Report damages, shortages, or non-conformances immediately.

9. MIS[Management Information System] & Reporting

•Prepare and submit daily/weekly reports:

•Dispatch summary

•Vehicle in-time/out-time report

•Job-work pending report

•Transporter performance report•Highlight risks related to delays or shortages.

Authority & Accountability

•Authority to stop dispatch in case of:

•Documentation mismatch.

•Quality hold.

•Safety risk.

•Accountable for:

•On-time dispatch.

•Documentation accuracy.

•Material safety.

•Job-work follow-up accuracy.

Skills & Competencies

•Knowledge of sheet metal parts and processes.

•Understanding of dispatch documentation & GST basics.

•ERP / Excel knowledge.
