We are seeking a dynamic and highly organized Dispatch Manager to oversee the daily operations of our Backflow Services Company. This vital role ensures smooth administrative workflows, effective vendor and team management, and exceptional office functionality. Responsibilities

- Manage all day-to-day office operations and administrative functions
- Supervise and support office staff.
- Coordinate and dispatch backflow technicians
- Schedule service calls, inspections, and maintenance appointments
- Answer and direct incoming phone calls and emails
- Provide excellent customer service and maintain strong client relationships
- Prepare and send invoices, estimates, and service agreements
- Follow up on unpaid invoices and outstanding balances
- Track upcoming services and ensure follow-ups are completed
- Maintain customer records, service histories, and job files
- Communicate with technicians regarding job updates, delays, and scheduling changes
- Order office and field supplies as needed
- Assist with permits, compliance paperwork, and required documentation
- Ensure accurate data entry and reporting
- Handle customer concerns and resolve service issues professionally
- Support management with reports, scheduling, and operational improvements
