The Role
The Dispatch Operations Specialist is the communication hub between customers and technicians. You’ll triage incoming requests, create and manage work orders, route the right technician to the right job, and keep everyone informed—calmly and professionally—when schedules change throughout the day.
We use modern field service technology (including dispatch boards, technician routing, and job tracking tools) to keep the day moving and the customer experience “white glove.”
What You’ll Do
- Dispatch and route service calls to technicians through our field management software; adjust schedules in real time as urgent jobs come in.
- Be the primary point of contact for customers—confirm details, set expectations, provide ETA updates, and resolve scheduling conflicts.
- Coordinate closely with technicians to ensure job notes, photos, and closeout documentation are completed accurately for billing and reporting.
- Enter and maintain job notes, parts/equipment details, and service history within the system.
- Support daily operational flow: board hygiene, follow-ups, and proactive communication to prevent surprises.
Additional opportunities (based on strengths and interest): inventory and pricing support, office/warehouse organization, relationship building with customers/techs, light inside sales, and helping grow our subcontractor network.
What Success Looks Like (First 90 Days)
- You can run the board confidently: dispatch, reroute, and communicate without things slipping.
- Customers feel informed and taken care of—even when timelines change.
- Technicians feel supported with clear job details and fast answers.
- Job documentation quality improves (fewer missing notes, fewer billing delays).
Minimum Qualifications
- High school diploma or GED
- 2+ years in dispatching, scheduling, customer service, or similar operations role
- Strong organization and attention to detail; confident communicator on phones and text/email
- High computer proficiency and comfort switching between multiple systems/screens quickly
- Self-starter mindset—follow-through with minimal supervision
Preferred Qualifications
- Associate’s or BA/BS degree (or equivalent experience)
- 2+ years dispatching in commercial HVAC, refrigeration, and/or foodservice equipment repair
- Experience with field service platforms (e.g., ServiceTitan)
- Bilingual English/Spanish
On-Call / After-Hours
This role participates in a rotational emergency/on-call schedule as needed (additional compensation provided). Current rotation is every 8 weeks.
Physical Demands
- Office environment; frequent sitting with occasional standing/walking
- Light lifting of office equipment or parts
- Frequent keyboard/mouse use and routine handling of small items
