Residential Installation Coordinator
Position Summary
We are looking for a highly organized and proactive Residential Installation Coordinator to own and manage our installation scheduling process from start to finish.
This is not just a scheduling position.
The Residential Installation Coordinator owns the install calendar, routing, customer confirmations, and job readiness process to ensure every installation runs smoothly, efficiently, and professionally.

The Residential Installation Coordinator owns the end-to-end scheduling and coordination of all residential installations. This role is responsible for ensuring installs are properly prepared, efficiently routed, appropriately staffed, fully confirmed, and financially cleared prior to dispatch.
This position protects installer productivity, customer satisfaction, and company profitability by ensuring that no job reaches the field without being truly ready.
In addition, this role serves as backup support for incoming phone calls and walk-in customers when needed.
Key Responsibilities
Installation Calendar Ownership
- Maintain and manage the master installation calendar
- Schedule jobs based on readiness, priority, installer capacity, and customer availability
- Balance workload across installers to maximize productivity
- Maintain visibility into backlog and forecasted install volume
- Coordinate closely with Sales and Operations to prevent scheduling bottlenecks
Route Planning & Logistics
- Build daily and weekly install routes to maximize efficiency and minimize drive time
- Group jobs geographically when possible
- Adjust routing for urgency, complexity, and installer skill set
- Monitor routing effectiveness and recommend improvements
Install Duration Standards
- Apply consistent time standards based on product type and installation complexity
- Avoid overbooking or unrealistic scheduling
- Adjust duration assumptions based on historical data and installer feedback
- Continuously improve install duration logic for accuracy
Installer Capacity Matching
- Assign jobs based on installer skill set and certifications
- Monitor daily and weekly installer availability
- Ensure proper crew sizing for heavy or complex installations
- Identify capacity gaps in advance and communicate proactively
Pre-Install Readiness Process
Before scheduling any job, verify:
- Measurements are complete and approved
- Materials have arrived and been inspected
- Hardware and accessories are available
- Special equipment requirements are confirmed
- Job documentation is complete
Maintain a documented Pre-Install Checklist for every scheduled job.
Customer Confirmation & Communication
- Conduct install confirmation calls 24–48 hours prior to installation
- Confirm address, access, site readiness, and contact person
- Set clear expectations regarding arrival window and preparation
- Send install reminder communication (text/email as applicable)
- Provide professional and reassuring communication
Payment Verification
- Verify required deposits or final balances prior to dispatch
- Coordinate with accounting to confirm payment status
- Ensure installers are not dispatched without financial clearance per company policy
Reschedules & Adjustments
- Manage reschedules professionally and efficiently
- Minimize calendar disruption when changes occur
- Communicate changes clearly to customers and installers
- Track and analyze causes of reschedules to improve operations
Installation Day Coordination
- Confirm installers are dispatched with complete job information
- Serve as office point-of-contact for field questions
- Adjust schedule in real-time as needed
- Document delays, issues, and customer change requests
Backup Front Office Support
As needed:
- Answer incoming phone calls
- Greet walk-in customers professionally
- Capture basic order information
- Route complex sales inquiries to appropriate team members
- Maintain a welcoming showroom experience
Required Qualifications
- 4+ years experience in scheduling, dispatch, or operations coordination
- Strong organizational and time-management skills
- Logical thinker with ability to plan geographically and by capacity
- High attention to detail
- Strong communication skills (phone and in-person)
- Comfortable in a fast-paced, service-driven environment
- Proficient with scheduling software and office systems
- Experience in residential glass, glazing, or construction trades a plus
- Familiarity with route planning or dispatch systems a plus
- Understanding of shower doors, mirrors, insulated units, and residential glazing products a plus

Pay: $18.00 - $23.00 per hour
