Job Summary
We are seeking a dynamic and detail-oriented Dispatcher to coordinate transportation operations efficiently and effectively. In this vital role, you will serve as the communication hub for scheduling trucks and material deliveries while maintaining seamless coordination between drivers and clients.

Core Responsibilities

Daily Scheduling: Contact Customers and Secure loads daily. Dispatch drivers according to customer needs daily to ensure timely materials delivery (e.g., dirt, gravel, sand, asphalt…)

Driver Management: Act as the primary point of contact for drivers via phone, and text; track their hours of service (HOS) and locations to ensure DOT compliance.

Customer Liaison: Communicate directly with job site foremen and plant managers to coordinate load arrivals and resolve site issues or delays.

Documentation & Billing: Oversee the collection and coding of delivery tickets (e-tickets or paper), fuel receipts, and timecards; generate freight bills and invoices for accurate customer billing.

Permitting & Compliance: Assist with ordering any necessary overweight or oversize permits from state and local authorities as required for specific loads or routes.

Maintenance Coordination: Work with mechanics to schedule preventative maintenance (PM) and repairs to minimize downtime.

Relationship Building: Actively assist in bidding on new jobs and maintaining long-term relationships with local aggregate suppliers and contractors.

Key Skills & Qualifications

Technical Proficiency: Ability to use industry-specific software such as Trux, (Dump Truck Dispatcher, or generic TMS) and GPS tracking tools by Verizon.

Stress Management: High capacity to remain calm and make quick decisions during fast-paced situations like equipment breakdowns or last-minute job cancellations.

Knowledge Base: Strong understanding of local geography, weight limits, DOT/FMCSA regulations, and product types (e.g., different stone gradations).

Education: High school diploma/GED is standard; 1–3 years of experience in trucking or logistics is preferred.

Common Tools

Dispatching: Contact (call/text) customers and use TRUX App for loads.

Communication: Call and text each driver directly to dispatch. Call existing customers and prospective customer to secure loads for the following day or days.

Administrative: Daily Dispatch Report to President and Office Assistant. Screen and direct phone calls and distribute correspondence. Handle requests and queries appropriately. Manage and schedule meetings and appointments. Take dictation and minutes as needed. Produce reports, presentations and briefs. Maintain office filing system. Report any Drivers that have called in due to sickness directly to the VP of Operations.

Qualifications

  • Proven experience in dispatching within a logistics or transportation environment.
  • Knowledge of GPS technology, GIS mapping tools, and transportation planning principles.
  • Excellent communication skills with the ability to convey information clearly over multi-line phone systems.
  • Proficiency in data entry and typing accuracy to maintain detailed records efficiently.
  • Familiarity with freight documentation and fleet management practices.

Pay: $27,000.00 - $35,000.00 per year
