What You'll Do

• Dispatch and coordinate commercial HVAC technicians across multiple active jobs
• Manage a high volume of inbound calls — answer quickly, triage effectively, and follow through
• Schedule and confirm service calls, preventive maintenance visits, and equipment installs
• Track job progress in real time and proactively communicate updates to customers and the team
• Enter and maintain accurate job and customer data in our HVAC management software
• Coordinate with project managers and field leads to keep jobs on schedule
• Follow up with customers post-service to confirm satisfaction and close out work orders
• Handle scheduling conflicts, urgent calls, and last-minute changes without missing a beat

What We're Looking For

Required:

• 2+ years of dispatching, scheduling, or customer service coordination experience
• Exceptional phone skills — professional, composed, and clear under pressure
• Strong organizational skills with the ability to juggle multiple priorities simultaneously
• Comfortable working in a fast-paced environment where priorities shift quickly
• Proficiency with Office 365 and iOS
• High school diploma or equivalent
• Must be able to commute to Foothill Ranch, CA 92610 daily

Preferred:

• Prior experience dispatching in a trade or field service environment (HVAC, plumbing, electrical, etc.)
• Familiarity with HVAC or field service management software
• Background in commercial service coordination (vs. residential)

Compensation & Schedule

• Pay: $24–$30/hr depending on experience
• Schedule: Monday–Friday and part of on call rotation
• Location: In-office at our Foothill Ranch headquarters (no remote work)
